Main Purpose of Job

The main purpose of this position is to perform independent administrative duties required to support the Division of Educator Certification and Program Approval including the Certification, Program Approval and Assessment, and Non Public School Approval Branches. The individual will be responsible for providing outstanding customer service to a diverse and extensive number of internal and external callers concerning approval of educator preparation programs located in Maryland’s Institutions of Higher Education, nonpublic schools regulations, and educator certification requirements. Individual will be responsible for providing administrative back up for Office of the Assistant State Superintendent.

POSITION DUTIES

  • Provides administrative assistance and support to the Director and Specialists in the Program Approval and Assessment Branch including: coordination of the mail, calendars, telephone, and email requests and determination of the appropriate course of action for responses. Preparation of correspondence entailing a wide knowledge of the Division's Branch's procedures, functions, and policies for the review and signature of the Director and Specialists as well as the compilation and dissemination of technical assistance and professional development meetings and materials.  Initial review and ongoing maintenance of the Continuing Professional Development Directory.
  • Independently responsible for providing a diverse and extensive number of internal and external callers with complex information based on a thorough knowledge of the laws and regulations that pertain to the program approval requirements of teacher preparation programs, both Maryland Approved Programs and Maryland Alternative Preparation Programs, including Institutions of Higher Education, 2 year community colleges, 4 year colleges, and the general public.
  • Prepares and formats all data for State and National reports including but not limited to the federal Higher Education Act of 1998, Title II: Teacher Accountability, Maryland Teacher Staffing Report and all legislatively mandated reports as required by the Assistant State Superintendent.  These responsibilities include assisting with all data collection and correspondence associated  with each report.  This reporting, if not done on time, can result in heavy fines being incurred by Institutions of Higher Education.
  • Independently processes Division mail including the completion of all certification fess for deposit, scanning, and data entry.

MINIMUM QUALIFICATIONS

EDUCATION: Possession of a Bachelor's Degree from an accredited college or university.

EXPERIENCE: Five years of experience in administrative or professional work.

 

SELECTIVE QUALIFICATIONS

One year of advanced proficiency in Microsoft Office Suite (specifically in Excel) experience

DESIRED OR PREFERRED QUALIFICATIONS

The following qualifications are preferred, not required:

  •         Experience with Microsoft Office Suite
  •         Experience with financial record keeping
  •         Experience in editing documents
