Introduction
Region IV Eastern Shore and Region V Prince George’s County of The Maryland Institute for Emergency Medical Services Systems (MIEMSS) has one position available for an Administrative Aide. The incumbent applying for this vacant position will have two supervisors.

Main Purpose of Job
The administrative aide in Maryland Institute for Emergency Medical Services Systems (MIEMSS) Regional Programs provides administrative and secretarial support to two of MIEMSS Regional Offices which is IV and V. The administrative aide also administers one or more major programs as directed by the Agency.
POSITION DUTIES

Provides clerical support to regional administrators. This includes preparing correspondence and documents utilizing Word, Outlook, Excel and Access.

Provides scheduling support to regional administrators.

Answers phone and email inquiries, determines customer needs and provides appropriate information, materials or referrals.

The incumbent will follow up on problems and/or complaints with appropriate agency staff to facilitate problem solving.

Reviews all incoming correspondence, handling routine items; sorting and prioritizing materials for administrators review and/or action.

Inventories supplies and postage regularly, determines need and prepares supply requests. Will maintains office equipment inventories for two regional offices.

Responds to all inquiries regarding regional conferences and upcoming educational classes. Schedules and administers protocol exams to EMS providers in the regional office, maintaining confidentiality and security.

Coordinates the voluntary ambulance inspection program for two regional offices.

Serves as administrator of the Public Access Defibrillation Program. Review applications, notify of approval or rejection and following up. Maintaining databases, update MIEMSS webpage, notifying 911 centers and EMS jurisdictions about locations of AEDs, tracking renewals.

Provides clerical support to two Regional EMS Advisory Councils and their various committees to include preparation of correspondence, agendas, minutes, updating membership lists and by-laws.

Other duties as assigned and directed.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Four years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.
DESIRED OR PREFERRED QUALIFICATIONS

Certification as an Emergency Medical Technician by the Maryland Institute for EMS Systems.

Secretarial or clerical experience in a fire, emergency medical services, or public safety agency.

LICENSES, REGISTRATIONS AND CERTIFICATIONS
Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator's license valid in the State of Maryland.
SPECIAL REQUIREMENTS
Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
