The State of Connecticut, Department of Correction, is seeking a highly motivated Secretary 1 to deliver support for the Addiction Services Unit at our Central Office location in Wethersfield, Connecticut.  

This is a full-time, 40 hour per week position on first shift.  Schedule is Monday - Friday between 8:00 AM and 4:30 PM.

ROLE HIGHLIGHTS

As a Secretary 1, you will provide sufficient clerical support relative to the facility and addiction services as well as other secretarial support. Responsibilities include:
  • Organizing and maintaining files;
  • Compiling information to prepare data reports;
  • Greeting and directing visitors;
  • Maintaining inventory of supplies and equipment;
  • Other tasks as needed.
ABOUT DEPARTMENT OF CORRECTION ADDICTION SERVICES

The Department's addiction services provide a graduated system of substance abuse treatment programs. The agency's Objective Classification System indicates that 88% of the inmates who come into the system have a substance abuse history that suggests a significant need for some level of substance abuse treatment. Based on the offender's individual need, which is determined through a formal assessment, they may receive treatment in; Tier 1, a nine session Pre-Release Substance Treatment Program focusing on re-entry and reintegration issues for offenders returning to the community; Tier 2, a four times a week, intensive out patient program with a curriculum that helps develop an understanding of addiction; Tier 3, a four month residential substance abuse treatment program designed to provide recovery and relapse prevention skills with a focus on reentry or: Tier 4, which is a residential six  month program in a modified therapeutic community setting.  Tiers 2,3 and 4 offer an Aftercare Program designed to provide a continuum of care and maintenance of recovery.  A Community Addiction Services Program provides substance abuse treatment for offenders placed under supervision in the community.

PURPOSE OF JOB CLASS (NATURE OF WORK)

In a state agency, this class is accountable for performing a full range of secretarial support functions.

EXAMPLES OF DUTIES

Performs a variety of secretarial duties as described in the following areas:

  • TYPING:
    • Using computers, tablets, and other electronic equipment, formats and types a full range of correspondence, reports, bills, drafts, etc. from rough draft, transcription, dictated notes, etc.;
    • Proofreads for content;
    • Edits using knowledge of grammar, punctuation and spelling.
  • FILING:
    • Designs office filing systems;
    • Organizes and maintains files (including confidential files);
    • Maintains, updates and reviews reference materials and manuals.
  • CORRESPONDENCE:
    • Composes routine letters/memoranda, etc. (e.g., standard replies and acknowledgement letters) for supervisor's signature.
  • REPORT WRITING:
    • Compiles information from standard sources and prepares data reports (e.g., number of forms processed during the month).
  • INTERPERSONAL:
    • Greets and directs visitors;
    • Answers phones and takes messages;
    • Answers questions requiring knowledge of terminology, organization, supervisor's responsibilities, etc. (e.g., appropriate referrals, general purpose of the unit).
  • PROCESSING:
    • Scans correspondence;
    • Pulls and attaches related materials;
    • Reviews, routes and prioritizes mail.
  • SECRETARY:
    • Arranges and coordinates meetings (including space and equipment);
    • Writes minutes of meetings, lectures, conferences, etc. from rough draft;
    • Takes notes and/or meeting minutes;
    • Prepares expense accounts;
    • Makes travel arrangements.
  • OFFICE MANAGEMENT:
    • Maintains an inventory of supplies and equipment;
    • Orders supplies when necessary;
    • Completes, processes, and maintains paperwork for purchasing (e.g., orders, requisitions, invoices, etc.);
    • Maintains time and attendance records;

MINIMUM QUALIFICATIONS - GENERAL EXPERIENCE

Two (2) years of experience above the routine clerk level in office support or secretarial work.

MINIMUM QUALIFICATIONS - SUBSTITUTIONS ALLOWED

College training in the secretarial sciences may be substituted for the General Experience on the basis of fifteen (15) semester hours equalling one-half (1/2) year of experience.

PREFERRED QUALIFICATIONS

  • Experience with entering and tracking purchase orders in CORE/PeopleSoft;
  • Experience with Addiction Treatment programming;
  • Experience working with inter departmental units and community based contracted providers/vendors;
  • Experience supporting large departments with over 60 employees;
  • Experience with Microsoft Office 365 Suite, Zoom, Helpdesk, OrgPlus, and JobAps;
  • Experience with grant funding management;
  • Experience supporting unit specific meetings, training and related documents.
