Under general supervision, to schedule and coordinate vehicle maintenance, cost capturing, and replacement; to maintain associated files and records to request and coordinate maintenance for office buildings, and landscaping; to order and stock supplies; to maintain inventory control systems; and to perform related work as required.


This is a single-position classification overseeing maintenance of the Agency's automotive and light truck fleet, inventory control systems, coordinating building maintenance, and providing other miscellaneous support duties.  This position reports to the Production Manager, Zone 7.

NOTE:  The following are the duties performed by employees in this classification.  However, employees may perform other related duties at an equivalent level.  Each individual in the classification does not necessarily perform all duties listed.

1.  Establishes maintenance and service schedules for Agency vehicles and trucks. 

2.  Arranges and coordinates service and repair for vehicles, including soliciting cost quotations, negotiating discounts, monitoring work, authorizing payment, and delivering vehicles to contracted shops.

3.  Evaluates vehicle service life and repair frequency, and recommends replacement; coordinates acquisition of new fleet vehicles by working with users to identify requirements, preparing specifications, obtaining information from manufacturers/outfitters, evaluating alternatives, and recommending selection of vehicles.

4.  Establishes maintenance, operation and depreciation/replacement charges for vehicles and allocates to departments according to vehicle and usage patterns.

5.  Maintains various records and prepares reports regarding fleet operations, repairs, and costs, including use of computer databases.

6.  Assigns and redistributes vehicles according to need and usage.

7.  Checks operating conditions of vehicles, and conducts test drives.

8.  Maintains inventory control assuring adequate levels and accurate stock records; organizes and maintains the warehouse; proposes and implements after approval, inventory policies and procedures.

9.  Coordinates salvage and disposal of surplus/obsolete Agency equipment and furniture.

10. Requests, evaluates, and coordinates repairs, maintenance and service for office buildings, landscaping, and is responsible for their regulation and/or maintenance.

11. Monitors stock levels and orders supplies; receives, unloads, verifies, organizes, and stocks supplies; maintains and reconciles annual physical inventory.

12. Pulls, sorts, and prepares materials for planned jobs; sees that necessary materials are promptly made available to work crews to maximize crews' time and cost effectiveness.

13. Performs miscellaneous pick up and delivery.

14. Performs miscellaneous support duties.

The equivalent of two years' full-time experience related to automotive service, evaluation of fleet vehicles and equipment for replacement and/or purchase, basic concepts and techniques of building maintenance, and knowledge of warehouse and inventory control systems.

Possession of a valid California Driver's License and a satisfactory driving record is required.

Knowledge of:
  • Maintenance, repair and service requirements of fleet vehicles.
  • Basic principles and procedures of inventory control.
  • Basic concepts and techniques of maintenance.
  • Filing and record keeping, and related general office procedures.
  • Use of keyboards, basic desktop computer software and other common office equipment.
Ability to:
  • Evaluate fleet vehicles and equipment and recommend service schedules, purchases, and replacements.
  • Arrange and coordinate repair and purchase contracts.
  • Maintain accurate logs, records, and files.
  • Make calculations.
  • Establish and maintain effective working relationships with those contacted in the course of the work. 
  • Function within a computerized inventory system.
  • Implement effective inventory control systems.
  • Work independently, organize own work and coordinate priorities.
  • Learn Agency purchasing procedures relating to vehicle procurement and service contracts.
Physical and Sensory Demands:
  • Mobility to climb ladders and work in awkward postures (bending, stooping, kneeling) and/or confined spaces in the course of building inspection of routine basic maintenance.
  • Physical strength and mobility to unload and stock cartons of paper supplies.
  • Manual dexterity to operate keyboards, office equipment, and basic hand tools.
  • Vision to read printed materials and computer screens, and operate a motor vehicle.
  • Speech and hearing to communicate in person and over the phone.
