Function

The Aviation Innovation Coordinator, Sr. reports to the Aviation Innovation Implementation Manager and supervises Aviation Innovation Coordinators. The Coordinator, Sr. is responsible for assigned complex innovation project life-cycle phases. 

Summary

The Coordinator, Sr. is responsible for assigned complex innovation project life-cycle phases including, without limitation, project research, project or product pilots, stakeholder feedback sessions, analyzing feedback and data to request stakeholder approval for implementing improvements, managing these phases or changes to completion.  The Coordinator, Sr. is further responsible for acting on behalf of Innovation and Experience as a project manager, coordinating assigned project scope and exclusion creation, solution selection recommendations, contract review, and ongoing vendor and contract management to drive successful and innovative outcomes.  The Coordinator, Sr. ensures that the goals and objectives of the project are accomplished within pre-approved timeline and budget.  The Coordinator, Sr. is expected to exercise judgment relative to scope, cost, specifications, and project progression, and appropriately and regularly communicate changes and progress with all stakeholders.  

Major Duties and Responsibilities


1. Report to Innovation and Experience’s Aviation Innovation Implementation Manager; builds and supervises a team of Aviation Innovation Coordinators.
2. Lead on all assigned matters related to the innovation portfolio using project management methodologies; prioritizes and delegates assignments to supervised team.
3. Manage assigned innovation project life-cycle phases to completion following city and aviation approved processes and policies.
4. Work closely with technology division teams on assigned related innovation contracts and/or projects including, without limitation, the content management system, terminal information centers and display screens, public announcement system, biometric system, website and mobile application(s), in addition to other assigned new or existing innovations. 
5. Works closely with business division teams to identify new sources or improving existing sources of revenue generation including, without limitation, online booking, and loyalty programs, managing projects to deliver a successful and modern passenger experience on CLT’s public-facing platforms.
6. Conduct meetings with internal and external stakeholders, vendors, and contractors to manage scope development and project implementation on projects, further addressing any project-related items including, without limitation, procurement, contracting, schedule development, resource management and budgetary concerns.
7. Serves as innovation project manager with every aspect of the public solicitation process including, but not limited to, generating solicitation documents, coordinate with procurement to post advertisements, gathering of questions and answers, and reviewing submitted responses.
8. Coordinate with stakeholders and contractors to maintain a clear line of communication via email, onsite, or virtual meetings, for scope and schedule updates.
9. Gathering and preparation of closeout documents and other relevant documentation necessary for the turnover of completed projects and systems to other airport divisions for ongoing maintenance and support.
10. Develop project plans, scopes, schedules, charters, service level agreements and other project management documents that facilitate project development and implementation.
11. Development, tracking, and implementation of project plans, schedules, and budgets; track project tasks and deliverables in the CLT’s preferred project management software tools.
12. Provides technical advice, information, and assistance in field of assignment to project managers, consultants, contractors, airlines, and the public regarding applicable procedures, regulations, and standards as related to assigned innovation projects.
13. Manages special projects and tasks as assigned related to the Innovation and Experience team. Works with internal and external customers as projects require.

• Ability to apply project management methodologies and practices necessary to deliver complex project involving numerous internal and external stakeholders.  
• Ability to navigate public sector procurement, contract management processes, and systems.
• Aviation Operations knowledge to address potential impacts to airport operations from project activities.
• Attention to detail and accuracy for communication and deliverables
• Communication skills to interface with client, vendors, contractors, and various stakeholders to achieve project goals, and design in a professional and productive manner
• Ability to learn Airport processes and ask appropriate questions
• Enthusiasm and willingness to participate and work well in a team environment.
• Flexibility to work odd hours when night/early morning work may be necessary.
• Ability to work safely and securely in public areas with situational awareness.
• Process oriented to ensure that projects adhere to schedule and budget and are implemented in accordance with project scope.
• Adapt to dynamic environment where responsibilities or duties might shift in supporting other team member's projects.
• Review and/or maintain running project meetings to track agreed upon resolutions, issue tracking and responsibilities.
• Ability to quickly develop rapport with other departments and divisions.
• Ability to develop project management progress and timeline reports as related to all projects in the innovation portfolio.
• Excellent organizational and communication skills (oral and written).
• Ability to work cooperatively with other City employees, general public, and passengers
• Ability to apply conflict resolution techniques.
• Computer skills in Microsoft Suite (Excel, Word, PowerPoint, etc.).

Preferred Qualification

  • Certified Associate in Project Management or Project Management Professional preferred
  • Experience working in an Airport environment and under various federal, regulatory security guidelines.
  • Construction or IT Project Management experience preferred.

Minimum Qualifications

High School Graduate or Equivalent and seven year(s) of related work experience

2 Year College Degree and five year(s) of related work experience

 

OR

 

Bachelor's Level Degree and one year(s) of related work experience

Conditions of Employment

The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte.
