Summary

The Reservationist will work for the Special Transportation Services division of CATS. The Reservationist reports to and assists the Dispatch/Scheduling Manager while also providing administrative support as needed to the Paratransit Manager. 

Major Duties and Responsibilities

  • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Collects and analyzes operational data for paratransit and vanpool services.
  • Maintains supply inventory by checking inventory levels, anticipating needed supplies, placing, and expediting orders for supplies.
  • Creates reports for management and employee use of operational statistics, budget meetings, attendance, and payroll.
  • Prepares and modify documents including correspondences, reports, drafts, memos, and emails
  • Answers customer phone calls and enter data into scheduling system
  • Initiates and complete travel authorization paperwork and reimbursement forms as needed
  • All other job-related duties as assigned.
  • As part of your responsibility to support the CATS Safety Culture, report safety concerns and issues through the various methods established by CATS as outlined in the ASP

Knowledge, Skills & Abilities

  • Knowledgeable and can create and maintain databases for operational statistics and budgets
  • Proficient in Microsoft Office (Excel, Word, and PowerPoint a must)
  • Ability to collect, organize, analyze, and interpret data for reports as required
  • Able to communicate verbally in person and via phone
  • Ability to adapt to change in a fast-paced work environment
  • Able to perform request with minimal guidance
  • Perform data analysis of operational statistics and trending
  • Ability to communicate effectively in writing
  • Exceptional organizational and time management skills
  • Ability to handle sensitive information with the highest degree of confidentiality
  • Able to type at least 40 wpm

Preferred Qualification

  • Associates degree in Office Administration, Office Management, or a related field of study
  • 1-2 yrs.  reservationist experience in a Paratransit setting

Minimum Qualifications

High School Diploma and any combination of experience and training which provides the required knowledge, skills, and abilities

Conditions of Employment

The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.

The checks must be consistent with the guidelines set forth by these laws requiring organizations to obtain a candidate’s written authorization before obtaining a criminal background report, motor vehicle records check or credit report; and to properly store and dispose of information derived from such reports.

Final candidates must pass a pre-employment drug-screening test and physical examination. During the selection process, candidates may be asked to take a skills test, and/or participate in other assessments.
