Function

  • Clerical & Administrative

Summary

The Street Maintenance Division Office Assistant IV performs routine clerical and administrative functions for CDOTs Street Maintenance Division. Duties include data entry, scheduling, organizing and maintaining files, and serving as secondary receptionist and dispatch.

Major Duties and Responsibilities

  • Assists staff by answering telephones, radio dispatching, scheduling appointments and meetings, creating, and following up on customer requests, producing documents and spreadsheets, and maintaining electronic and hard copy files.
  • Aids the division’s HR and Finance sections with scheduling, filing, and data entry.
  • Undertakes special projects at the request of management to meet divisional goals.
  • Enters Risk Management claims for the division.

Knowledge, Skills & Abilities

  • Customer Service- Knowledge of principles and processes for providing customer services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction
  • Clerical- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
  • English Language- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Active Listening- Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Service Orientation- Actively looking for ways to help people.
  • Reading Comprehension- Understanding written sentences and paragraphs in work related documents.
  • Writing- Communicating effectively in writing as appropriate for the needs of the audience.

Preferred Qualification

  • 2-3 years of relevant experience

Minimum Qualifications

  • High School Graduate or Equivalent and one (1) year relevant work experience
  • or Associate's Degree
  • An equivalent combination of education and relevant experience that provides the necessary knowledge, skills, an abilities to successfully perform the essential job duties

Salary

  • $39,614.00 - $44,675.00/year; Commensurate with experience

Conditions of Employment

The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.

Background checks must be in compliance with all federal and state statutes, such as the Fair Credit Reporting Act (FCRA). The checks must be consistent with the guidelines set forth by these laws requiring organizations to obtain a candidate’s written authorization before obtaining a criminal background report, motor vehicle records check or credit report; and to properly store and dispose of information derived from such reports.

Final candidates must pass a pre-employment drug-screening test and physical examination. During the selection process, candidates may be asked to take a skills test, and/or participate in other assessments.
