Summary

The Office Assistant Senior position will support the Property & Evidence Management division by performing advanced clerical work that is differentiated from lower-level support staff by the complexity of projects and assignments. The prospective Office Assistant Senior will successfully accomplish a broad range of advanced administrative tasks, manage records/files, and assist the Property & Evidence Management division where needed with special assignments. The successful candidate will have attention to detail and the ability to maintain accurate records and reports.

Major Duties and Responsibilities

The Office Assistant Senior will interact with internal and external customers which includes responding to inquiries by analyzing files, records, and other background information to obtain contextual data related to the inquiry. The Office Assistant Senior will also perform administrative functions such as submitting inventory requests, receiving, processing, and distributing uniforms and equipment for both Civilian and Sworn personnel upon request. The Office Assistant Senior will need to successfully operate and troubleshoot office equipment occasionally and will manage the department’s records and internal processes by a manual and or digital filing system and will accurately record data and conduct data entry audits for errors. The Office Assistant Senior will also manage the department supplies inventory by ensuring the continuous availability of adequate materials to conduct work activities, initiate requests, and orders for new or replacement supplies, and utilize the PLIMS system to assist with necessary ancillary tasks. The Office Assistant Senior will need to be able to respond to all requests in a timely manner and perform other duties as assigned.

Knowledge, Skills & Abilities

  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Knowledge of principles and processes for providing excellent customer service. This includes adequate assessment of customer need(s), meeting quality standards for services, and evaluation of customer satisfaction.
  • Strong organizational and interpersonal skills.
  • Demonstrated ability to multi-task & prioritize effectively.
  • Ability to interact with a diverse group of people.
  • Ability to operate various computer program systems such as Microsoft Word, Excel, and PowerPoint.
  • Ability to fax, print, scan, mail, and email correspondences. 
  • Ability to adapt to dynamic circumstances and changing priorities.
  • Ability to cultivate positive working relationships with personnel from various divisions and external vendors.
  • Complete assignments with only general instructions, using initiative and decision-making skills to accomplish task(s).
  • Effective oral, verbal, and written communication skills; ability to communicate fluidly to accomplish task(s).



ADA and Other Requirements:

Positions in this class typically requires grasping, stooping, squatting, kneeling, crouching, reaching, pushing, talking, hearing, seeing, and repetitive motions. 


Physical Requirements:

  • Remaining in a stationary position, often sitting or standing for prolonged periods.
  • Occasional movement and walking throughout the workday daily to interact with staff and accomplish tasks.
  • Communicating both verbally and written in order to exchange information.
  • Repeating motions of holding, grasping, turning, that may include the wrist, hands, and/or fingers.
  • Light to moderate lifting and carrying.

 

Sensory Requirements: 

  • Concentrated and attentive use of one or more senses (visual, audio, and other sensory modalities) for proof reading, data entry, tabulating data. 
  • Ability to operate in an environment with frequent interruptions from people and or noises, which in return could result in some level of stress, fatigue, or strain.  
  • Comprehension of written information in work related documents. 
  • Ability to hear, understand, and distinguish speech.

 

Working Conditions:

Work is performed in an indoor office environment with moderate exposure to atmospheric conditions; moderate exposure to environmental conditions (such as officers, community members, victims, etc.); and frequent exposure to computer screens, files and phone. 


Other Requirements:

Selected candidate may be required to successfully complete and pass a pre-employment respirator clearance evaluation. Failure to successfully pass all segments of the pre-employment evaluation process will result in disqualification from further consideration of this vacancy.

Preferred Qualification

Associate’s Degree and two (2) years of relevant experience

Minimum Qualifications

High School Graduate or equivalent and three years relevant work experience

Conditions of Employment

The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.

Final candidates must pass a pre-employment drug-screening test and physical examination. During the selection process, candidates may be asked to take a skills test, and/or participate in other assessments.
