Introduction

This position will provide a wide scope of administrative and technical support related to technology operations and special projects while exercising considerable initiative, follow through and confidentiality in the performance of the job.

Major Duties and Responsibilities

  • Process monthly and annual invoices for the Public Safety Division
  • Transcribe minutes for the Radio Regional Council meetings
  • Reconcile purchase card transactions 
  • Assist employees with travel arrangements in Concur
  • Research information for meetings, correspondences, etc. as needed
  • Perform various clerical duties including photocopying, filing, and ordering office supplies 
  • Attend various meetings and distributes related materials
  • Assist employees with Annual Enrollment and other benefit questions 
  • Ensure customer requests are processed and resolved in a timely manner
  • Assist with organizing divisional events and special projects as assigned
  • Perform other duties and functions as requested and assigned

Knowledge, Skills & Abilities

  • Considerable knowledge of the principles and methods of modern office procedures, practices, systems, and equipment
  • Strong computer, administrative, and organizational skills 
  • Excellent written and oral communications skills
  • Ability to learn new tasks and computer-based technology programs
  • Ability to establish and maintain effective working relationship with departmental employees, other city departments and the public  
  • Ability to effectively and discreetly convey information
  • Ability to collect and analyze information
  • Ability to prioritize work assignments, work independently, and meet established deadlines
  • Ability to keep complex records, to assemble and organize complex data, and to prepare reports from such records

Preferred Qualification

  • Associates degree from an accredited college/university in Business Administration or a related field
  • One or more years of related office support experience

Minimum Qualifications

  • High School Diploma or GED 
  • Three or more years of related experience supporting several managers in a fast-paced environment
  • Proficiency in Microsoft Office Programs including Word, Excel, PowerPoint, and Outlook
  • Demonstrated knowledge of business office operations and procedures

Conditions of Employment

The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.
