Summary
The Asset Administrator will effectively manage Aviation Technology assets throughout each phase of their lifecycle - acquisition through retirement. In addition, they will help to reduce the total cost of ownership and increase the return on investment for Technology assets. They will be responsible for implementing and maintaining an IT Asset Management (ITAM) software tool, running reports using a variety of discovery tools and comparing the data to effective licensing position documents to ensure compliance with all contractual agreements.
Major Duties and Responsibilities
- Implement and Maintain an IT Asset Management (ITAM) software tool to track all Aviation Technology assets
- Create and maintain inventory management to maintain the quantity, location, and use of all Technology assets
- Purchase, track, and maintain all software and hardware licenses for the Aviation Technology division
- Manage all technology assets from acquisition to disposal. This includes managing software/firmware version, licensing, support and maintenance, and lifecycle. Enforces policies of asset retirement, and replacement before end-of-life.
- Purchase, track, and maintain all software and hardware licenses & certificates for the Aviation Technology division. This includes monitoring license utilization, optimizing licensing agreements & strategy, processing renewals, and ensuring that no lapses.
- Manage solicitations, contract negotiation, renewals, and lifecycle of Aviation Technology Contracts. This includes managed services, general services, support & maintenance, hosted services, and other technology contracts.
- Manage software and firmware versions on all assets to ensure that support, compliance, and security requirements are met.
- Coordinate with division managers and Enterprise I&T on hardware and software standards.
- Tracking and escalating orders with Vendors
- Coordinating hardware returns/warranty repairs with Vendors/Field Services
- Developing and reporting on Refresh cycles for all hardware types.
- Responsible for creating asset reports.
- Coordinate with the onsite Tech Help technicians to ensure asset records are properly updated when they are received, inventoried, deployed, loaned, and retired.
- Manage the technology surplus program to ensure devices are properly disposed of.
Knowledge, Skills & Abilities
- Able to conduct and interpret quantitative or qualitative analysis of large data sets related to technology assets
- Must exhibit superior customer service and a commitment to teamwork
- Must have excellent written and strong verbal/interpersonal communication skills
- Independent in work ethic and thought process, seeking supervision or direction as needed
- Positive attitude and strong team player with an ability to partner with others
- Advanced knowledge of Microsoft Excel to track costs and expenses using equations and computation features as well as the ability to create formulas and produce reports using large data sets.
- Familiarity with a fast-paced Information Technology and/or Retail environment
- Strong technical and analytical skills, and can interpret vendor licensing terms and conditions
- Continuous improvement attitude - able to seek out and implement leading ITAM practices
- 2 or more years of IT licensing audit and/or contract renewals experience
- 2 or more years working in ITAM and/or financial experience in a large organization
- 2 or more years working in a fast-paced Information Technology environment
- 2 or more years of managing large-scale technology deployments
- 2 or more years managing technology asset records and CMDB data or other large data sets
Preferred Qualification
- 4 or more years of IT licensing audit and/or contract renewals experience
- 4 or more years working in ITAM and/or financial experience in a large organization
- 4 or more years working in a fast-paced Information Technology environment
- 4 or more years of managing large-scale technology deployments
- 4 or more years managing technology asset records and CMDB data or other large data sets
Minimum Qualifications
Bachelor’s degree in Management Information Systems and/or Computer Science or relevant work experience.
Conditions of Employment
The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte. The type of information that will be collected as part of a background check includes, but is not limited to: reference checks, social security verification, education verification, criminal conviction record check, and, if applicable, a credit history check, sex offender registry and motor vehicle records check.
Background checks must be in compliance with all federal and state statutes, such as the Fair Credit Reporting Act (FCRA). The checks must be consistent with the guidelines set forth by these laws requiring organizations to obtain a candidate’s written authorization before obtaining a criminal background report, motor vehicle records check or credit report; and to properly store and dispose of information derived from such reports.
Final candidates must pass a pre-employment drug-screening test and physical examination. During the selection process, candidates may be asked to take a skills test, and/or participate in other assessments.
