Summary

The FMLA and Leave of Absence Coordinator - Administrative Officer I will effectively coordinate and track employee FMLA and Non FMLA leaves of absence such as but not limited: to Paid Parental Leave, Military Leave, Administrative Leave, etc. including determining employee eligibility, availability and leave requirements. This position will work closely with Unum, the City’s third-party administrator for FMLA leave management and will communicate regularly with all necessary parties regarding the status of employee leaves of absence.  Additionally, the Leave of Absence Coordinator will monitor Non-Worker’s Compensation light duty assignments and will facilitate the process of returning employees to work following their period of leave or Non- Worker’s Compensation related light duty.

Major Duties and Responsibilities

  • Coordinates employee leave of absence programs in conjunction with internal processes & third-party vendors to include:
    • FMLA
    • Personal leave requests
    • Military Leave
    • Administrative Leave / etc.
  • Coordinates communication between employees & managers during leave
  • Provides accurate responses to questions from employees / supervisors / Unum / City HR regarding various employee leaves of absence
  • Coordinates return-to-work process for all FMLA & Non-FMLA leaves of absence
  • Ensures all applicable leave laws / City policies / CMPD directives observed & applied
  • Assists in reviewing & recommending revisions to CMPD leave policies / procedures ensuring compliance with federal / state / local laws & regulations
  • Maintains employee leave information & some ADA profile information in databases
  • Analyzes & reports employee leave of absence trends to employee relations / leave supervisor
  • Prepare & manage reports / metrics / analysis for all FMLA & LOA cases on monthly / quarterly basis / identifies areas for improved process efficiency
  • Ensures confidentiality of employee medical & leave records maintained, / ensures continued compliance with HIPAA Privacy laws
  • Performs other duties as assigned

  • Positions in this class typically require: fingering, grasping, talking, hearing, seeing, and repetitive motions.  

Physical Requirements:

  • Essential and marginal functions may require maintaining physical condition necessary for sitting, standing, climbing, or walking extended periods of time
  • Light to moderate lifting and carrying; some crouching, stooping, squatting, crawling, reaching, pushing, and pulling when performing tasks
  • Adequate vision, hearing, and speech required  

Sensory Requirements:

  • Concentrated and attentive use of one or more senses (visual, audio, and other sensory modalities) for proof reading, data entry, tabulating data
  • Ability to operate in an environment with frequent interruptions from people and or noises, which in return could result in some level of stress, fatigue, or strain Comprehensive of written information in work related documents Ability to hear, understand, and distinguish speech  

Working Conditions:

  • Work is performed in an indoor office environment with moderate exposure to atmospheric conditions; moderate exposure to environmental conditions (such as officers, community members, victims, etc.); and frequent exposure to computer screens, files and phone.

Minimum Qualifications

High School Graduate or Equivalent and one year related work experience

OR

Associate's Degree

The City’s Background Check Policy requires background checks to be conducted on final internal or external candidate(s) applying for any position with the City of Charlotte.
