Introduction

The City of Tucson Parks and Recreation Department is seeking a motivated and detail-orientated individual to join our Parks Maintenance Team as a

PLANNER SCHEDULER

This position is responsible for the oversight and routinely reviewing the accuracy of the information staff enters in Categraph and assist the department in managing their assets and labor expenses.

To remain eligible, you must maintain your permanent or probationary Civil Service employment status through the actual date of transfer. If you are not a current permanent or probationary Civil Service employee at the date of transfer, you will not be eligible for this position. Non-permanent or appointed employees are not eligible.

The Eligibility List may be used by any City department with an approved vacancy to fill in the next 6 months. Selection will be made in accordance with CSR III, Section 2. The list of employees eligible for consideration will remain in effect for 6 months after their names are provided to the hiring authorities. Examination results and current status will be communicated by email.

General Description

The Planner Scheduler will ensure that Cartegraph is utilized as a multi-facet asset management system, for Parks and Recreation to track life cycles, warranties, and replacement costs, in conjunction with initiating equipment returns, renewal of contracts and other actions as needed.

Essential Functions

Administers work orders and requests for service by receiving orders and requests; prioritizing work according to urgency and resource requirements and completing appropriate order and request documentation.

Oversees job requests by reviewing and analyzing job requests; researching past requests; investigating and viewing work sites; developing cost estimates and identifying staffing requirements.

Coordinates work activities by scheduling appropriate approvals and necessary permits; coordinating with internal departments and external entities and vendors and dispatching work and assignments to Utility Technician supervisors.

Monitors and sustains work progress by tracking work flow and crew progress; verifying availability of parts and equipment; ensuring mandated inspections are scheduled and completed and rescheduling work and related activities due to down-time, emergencies and other unforeseen circumstances.

Maintains records and files for reporting and analysis by preserving records and databases of work scheduled and completed; following-up to verify completion of work and related activities and analyzing actual costs for staff and equipment for use in future planning efforts.

May provide training services by developing and presenting training on job-related activities including, but not limited to, equipment safety, technical issues and other systems.

Establishes short range and long range plans by analyzing resources and backlog and balancing these two concerns to ensure delivery of Tucson Water services.

Determines resource requirements by establishing the required crew size and resources necessary for the completion of the task, estimating and/or applying available benchmarks and determining the need for extra travel or preparation for completion of the task.

Minimum Qualifications

Minimum Education Level & Type: High School Diploma or G.E.D.

Minimum Experience Qualifications: At least 3 years planning and scheduling work processes, using enterprise asset management (EAM) systems or associate software computer systems.

In addition to the minimum qualifications above, the ideal candidate will also possess the following:

Selection Plan

Applicants who meet the minimum qualifications will be evaluated on the education and work experience in their employment profile and the responses to their supplemental questions. The highest scoring applicants will then be invited to participate in an Oral Board interview.

  • Oral Board Interviews will be held: the week of August 16, 2021

Upon completion of all examination processes, the highest scoring applicants will be placed on an Eligibility List.  An applicant's ranking on the list will be based on their final score which will be calculated as:

  • 15% of your rating for education and work experience
  • 85% of your oral board interview

Selection Interviews may be conducted post Civil Service Eligibility List by the hiring manager.
