General Description

Provides lead support to the individual sections in the Prosecutor's Office by handling situations requiring variance from usual and normal procedures, within allowable parameters.

Essential Functions

This is a lead position affording guidance to other positions performing the same tasks. This lead position also reviews workloads, assigns work and coaches employees with specialized instructions and practices for job accomplishments.  Lead personnel may contribute to other employees’ performance evaluations; assist with the hiring process by interviewing and making recommendations and providing input to supervisory staff.  Provides support and training to Litigation Support Clerks

Supports the Prosecutor's Office operations by processing, routing, researching, and maintaining files. Reviews case files for accuracy and completeness, determines next appropriate action and forwards as necessary. Performs intake and processes all materials submitted for prosecution. Enters and maintains entries in specialized software systems used by the City Prosecutor, City Court and the Tucson Police Department. Accesses databases to track update and locate files and/or information. Accesses other government databases as required. Maintains confidentiality as required by law

Provides customer service in person or on the telephone to attorneys, victims, defendants and/or public by answering/resolving relevant questions concerning various levels of customer service needs 

Redacts reports and videos as required by law. Scans and duplicates disclosure items for defendants and their attorneys.   Prepares subpoenas, reviews for accuracy and completeness and tracks returns of service as applicable; log/schedules officers for evidentiary hearings and trials 

Acts as a liaison between victim/witnesses throughout court proceedings; accompanies victims/witnesses to court proceedings and informs them of their legal rights under Federal and State laws; provides emotional support and empathetic/active listening for victims and family members. Maintains case files and statistical reports on each victim/witness and services provided

Preforms routine record keeping procedures and duties for management, which are used for statistical reporting.     Coordinates diversion programs by tracking progress of participants, maintaining case files and filing motions for completion, continuance or non-compliance in program

Provides clerical support by preparing electronic files for jail arraignments and daily court dockets. Reviews electronic files after court, recording necessary information in the file (ie: new court dates, assigned prosecutor, assigned defense attorney, etc.).  Sends necessary tasks to other units in the office.  Scans or attaches relevant documents to the electronic case files.  Ensures proper disposal of any remaining paper files in which the case is closed

Sets, logs, and notifies appropriate parties regarding hearings for motions, evidentiary motions  

Communicates and coordinates regularly with others to maximize the effectiveness and efficiency of intra and interdepartmental operations and activities

Minimum Qualifications

Minimum Education Level & Type: High School Diploma or G.E.D

High School Minimum Experience Qualifications: At least 3 year's experience as a Litigation Support Clerk or relevant experience in a court setting or attorney’s office

Special Job Requirements

Positions in department may work in a single unit position or as part of team. Rotation and cross-training are required throughout the units by the incumbents occupying these positions. Specific duties, including the amount of copying, data entry, word processing, file searches and contact with the public, etc., will vary within the assigned organizational unit.

Driving Requirements

The following information pertains to driving requirements for this classification with the City of Tucson. Under "Driving Level" None, Secondary or Primary, refers to the driving responsibility as it relates to the essential functions of the classification. License Type, is just that, the type of Arizona Driving License required for the classification. If the position requires a Commercial Drivers License (CDL), the endorsements will be listed under "Endorsements." Under Safety Sensitive a "Yes" means employees with this classification are subject to pre-employment and random drug testing. License Type A,B,C,D,or M may require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.
