General Description

Provides administrative and research support and assistance to the courts, court clerks and judges. Handles situations requiring variance from usual and normal procedures, within allowable parameters.

Essential Functions

This is a lead position affording guidance to other positions performing the same tasks. This lead position also reviews workloads, assigns work and coaches employees with specialized instructions and practices for job accomplishments. Lead personnel may contribute to other employees' performance evaluations, assist with the hiring process by interviewing and making recommendations and providing input to supervisory staff.

Provides clerical support by setting up files for jail arraignments, locating files for daily court dockets, reviewing, recording, assigning, sorting and distributing files after court, attaching minute entries, maintaining library files, and ensuring proper disposal of closed cases and maintenance of probation files.

Assists public, in person and on telephone with inquiries regarding traffic fines, trials, hearings, warrants, extensions, jail bonds out, posting bonds, arraignments, and other information pertaining to court processes, regulations, and policies. Records, receipts, and disburses various monies collected by the court in the form of fines, fees, restitution, and bonds. Sets logs, and notifies appropriate parties regarding hearings for motions, evidentiary motions, office schedules, orders of protection, and injunctions against harassment.

Provides data entry into the automated case management system regarding court arraignments, scheduling, and compliance with court ordered sanctions.

Supports courtroom operations by maintaining judge's calendar, processing, routing, researching, and maintaining files.

Creates, processes, and maintains appropriate court records and documents for the court as required by appropriate rules, statues, policies, and procedures. Responsible for ensuring that courtroom equipment is in good operating condition, and provides jury management.

Monitors schedules by using the court computer program to ensure office notification and/or cancellation of upcoming trial dates, locate cases for upcoming court dates, provide victim notification, order police reports and evidence, and to log and track incoming motions.

Provides administrative support by processing incoming motions and orders from various courts, locating related files and logging them for motion response, filing motions in various courts and Performs related duties by assisting victims by phone and in person, and attending court with victims as necessary.

Minimum Qualifications

Minimum Education Level & Type: High School Diploma or G.E.D.

Minimum Experience Qualifications: At least 1 year administrative support, confidential information handling, and customer service in a court setting or as a paralegal

Driving Requirements

License Type, is just that, the type of Arizona Driving License required for the classification. If the position requires a Commercial Drivers License (CDL), the endorsements will be listed under "Endorsements." Under Safety Sensitive a "Yes" means employees with this classification are subject to pre-employment and random drug testing. License Type A,B,C,D,or M may require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage. Exceptions to classification driving requirement's may exist based on position.
