Occasionally directs helpers, assistants, seasonal employees, interns, volunteers or temporary employees and may temporarily act in a higher capacity.
Performs administrative support duties by ordering supplies and equipment, entering various information into the system, scheduling meetings, training and appointments, monitoring contracts, developing and maintaining spreadsheets, logs, and files, conducting research, compiling information, recording and transcribing meeting minutes, processing and distributing mail, preparing and distributing agendas, reports, correspondence, paperwork, spreadsheets and other materials, proofreading documents for accuracy, interpreting policies and procedures, writing work orders, and making travel arrangements. Processes requisitions and invoices.
Provides support and information to internal and external customers by answering telephone and email inquiries, contacting vendors and other service providers, conducting research, and assisting with the resolution of problems.
Performs related duties by troubleshooting office equipment issues, processing payroll, acting as the petty cash custodian for multiple departments, taking inventory, training and scheduling personnel, coordinating various special projects, testifying in court, developing and maintaining website, preparing newsletters and promotional materials, making policy recommendations, dispatching personnel via radio. Process personnel actions and employee performance evaluations.
Minimum Education Level & Type: High School Diploma or G.E.D.
Minimum Experience Qualifications: Under 1 year of secretarial, administrative support, confidential information handling, and customer service experience.

The following information pertains to driving requirements for this classification with the City of Tucson. Under "Driving Level" None, Secondary or Primary, refers to the driving responsibility as it relates to the essential functions of the classification. License Type, is just that, the type of Arizona Driving License required for the classification. If the position requires a Commercial Drivers License (CDL), the endorsements will be listed under "Endorsements." Under Safety Sensitive a "Yes" means employees with this classification are subject to pre-employment and random drug testing. License Type A,B,C,D,or M may require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage. Exceptions to classification driving requirement's may exist based on position.
