Nature Of Work

An employee in this class is responsible for performing one or more assignments of more than average difficulty, which might include specialized office, purchasing, work order, records keeping, and administrative activities. Positions might also require proficiency in use of computer equipment and software. Under general supervision, employees receive instructions orally and in writing and perform tasks requiring the exercise of reasonable initiative and independent judgment. Employees may also apply specialized knowledge and experience in the interpretation of rules and regulations for the completion of certain assignments. Work is reviewed while in progress and upon completion through observation, reports submitted, and results obtained.

Examples of Duties

Maintains work order data for proper records keeping via work management database or computerized maintenance management system (CMMS); accepts incoming work order requests and independently dispatches all emergency requests to appropriate personnel or vendor; tracks labor and materials via work management system and provides periodic reports to management as requested; utilizes software reporting features to create reports and modify records to comply with guidelines, policies and procedures.

Establishes, maintains, and monitors departmental records, files and accounts; is responsible for preparation of documents including journal entries, purchase orders and requisitions, utility service agreements, financial summaries, and reports; tracks documents/requests to monitor progress through system; reconciles purchasing card transactions; orders, verifies delivery, stores, and distributes office supplies, forms, uniforms, and equipment; communicates with Purchasing and Central Accounting personnel; processes paperwork to Central Accounting for payment of invoices; maintains physical inventory; prepares property control forms for fixed assets, etc.

Reviews city facility lease agreements to determine service responsibility; monitors contractual service agreements to ensure work is performed as specified by contract and vendors comply with contractual pricing.

Uses a variety of computer software to prepare correspondence, reports, specifications, and other materials; maintains daily work order data.

Receives and responds to more difficult inquiries and complaints by establishing and promoting effective relationships with the public, customers, vendors, and other employees; attends to complaints and issues work orders, records type of action and results.

Maintains schedules and processes departmental records through the records management system; sorts and routes mail and other documents.

Operates, cleans and performs minor adjustments and maintenance on various office machines and equipment. May operate a variety of communications equipment as required.

Performs related work as required.

Knowledge, Skills & Abilities

Considerable knowledge of: business English and mathematics; standard office practices, procedures, and equipment; use of computers for preparing documents, spreadsheets, work order requests.

Working knowledge of: rules, regulations, procedures, and functions of the assigned area as well as appropriate municipal codes, ordinances, resolutions and regulations, programs, and policies.

Ability to: understand and follow complex oral and/or written instructions; prepare clear and concise written reports; maintain accurate and complete records; establish and maintain effective working relationships with others; some positions may require the ability to lift up to 30 pounds.

Ability and skill in: operation and minor maintenance of office equipment and computers.

Minimum Qualifications

Graduation from an accredited high school and three (3) years in office or clerical experience with computer skills; or an equivalent combination of training and experience.

Examination

Evaluation of education and experience. Drug testing is included in all pre-employment processing.

Comments

During periods when the Mayor issues an emergency declaration for the City of Tampa, all employees may be required to work in preparation, response or recovery activities related to the stated emergency.
