Nature Of Work

Employees in this class perform specialized and confidential secretarial assignments for the Chief of Police. Work is of more than average difficulty and requires that all tasks be performed accurately and in strict conformance with established policies and procedures. Although under general supervision, employees are expected to function independently in the accomplishment of tasks.  The employee must exercise reasonable initiative and independent judgment in responding to inquiries from municipal employees, department managers and the general public, in addressing administrative. Work is reviewed through conferences, completed work, and results obtained.  Appointed position. 

Examples of Duties

Responsible for handling multiple tasks requiring excellent customer service skills, high-level professionalism, dependability and a positive attitude. 

Greets and directs visitors to the police executive suite. 

Independently performs standardized clerical assignments as well as complex tasks related to police executive staff support.  

Receives, screens and directs telephone calls; receives correspondence and prepares responses as required; may assist with appointments for the Chief of Police; provides assistance to other executive or administrative staff.

Assist citizens on behalf of the Chief of Police by responding to concerns via phone, the Customer Services Center or walk-ins.

Maintains an efficient and organized filing and database management tracking systems; locates information based on limited instructions; prepares reports as needed; maintains proper confidentiality and security of all information handled.   

Maintains conference room schedules and other activities for the police executive staff.

Participates in information searches and compiles data on assigned projects; uses computer to prepare reports, routine forms, correspondence, and other documents from information obtained or furnished by police executive staff.

Handles confidential documents according to procedures in order to maintain their security.

Maintains the business office area, equipment and supplies; operates calculator, computer, copier; utilizes a wide variety of computer software for various tasks.

Delivers, distributes, and collects mail, supplies, and other materials.

Performs related work as required.

Knowledge, Skills & Abilities

Considerable knowledge of: business English and mathematics; standard office practices, procedures and equipment; law enforcement terminology and forms.

Working knowledge of: rules, regulations, procedures, and functions of the department; municipal organizations, programs and policies.

Ability to: understand and follow complex oral and written instructions; compose, edit and correct draft correspondence, reports and other documents for final typing or production; establish and maintain effective working relationships with employees, municipal officials and the general public.

Skill in: typing; operation and minor maintenance of office machinery and equipment; keyboarding and accurate computer operation.

Suggested Minimum Qualifications

Graduation from an accredited high school and five (5) years of increasingly responsible executive assistant, legal assistant, law enforcement administrative support or related experience; or an equivalent combination of training and experience.

Comments

During periods when the Mayor issues an emergency declaration for the City of Tampa, all employees may be required to work in preparation, response or recovery activities related to the stated emergency.
