Nature Of Work

An employee in this class is responsible for performing tasks of average difficulty involving event coordination for the municipal convention center. Under general supervision, the employee is required to exercise reasonable initiative and independent judgment in coordinating activities related to lessee needs. The exercise of considerable tact and courtesy is also necessary in dealing with the public. Position will require that work be performed on weekends and during irregular hours. Work is reviewed while in progress through observation and upon completion through reports submitted, public response and results obtained.

Examples of Duties

Determines clients’ needs; explains services available through the convention center; surveys/interviews clients by telephone or in person in order to collect data; conducts needs assessment and/or feasibility studies to determine whether a project can work; arranges for the execution of such services as security, production, audio visual, telephones, sound, and lighting; provides event specific information to operating divisions of the center; oversees to ensure work is performed.

Acts as liaison between the convention center and the lessees; coordinates activities as they relate to lessee needs both prior to and during events such as conventions, trade shows, or public shows; conducts follow-up investigations to verify information and resolve problems.

Resolves complaints not handled by lower-level events personnel; coordinates with inspectors regarding site inspection to ascertain correctness of information contained in submitted plans.

Calculates payments due from customer to facilitate revenue collection; attempts to trace delinquent fees from patrons in order to recover money from city services; computes sales and use taxes to determine amount owed.

Prepares non-technical drawings and sketches using AutoCAD; reads and interprets blueprints, technical drawings and diagrams, plans, and specifications in order to facilitate proper construction for events; enters information into computer system; provides input into the design of computer programs to meet the needs of the department.

Conducts orientations, basic training, and specific project training for co-workers and employees; develops work activity standards; monitors work in progress; attends staff meetings to discuss projects and activities; acts as team leader on a project basis.

Prepares and maintain files, reports, and financial records, gives oral reports; composes correspondence to facility patrons and other regarding events; keeps informed of ordinances, codes, and other legislation that affects operation of the center.

Checks assigned area for safety hazards and reports any concerns; analyzes/reviews accident, incident, and injury reports.

Assists in publicity, advertising, and group sales activities as required.

Performs related work as required.

Knowledge, Skills & Abilities

Working knowledge of: standard office practices and procedures including records keeping; basic computer operation; methods and techniques used in event promotion; standard building operation and maintenance.

Ability to: maintain records and prepare clear and accurate reports; establish and maintain effective working relationships with other employees, event promoters, and the general public.

Minimum Qualifications

Graduation from an accredited college or university with a bachelor’s degree in public relations, business administration, recreation, mass communications, marketing, social sciences or a related field and one (1) year of experience in events coordination, meeting planning, advertising, or a related field; or an equivalent combination of training and experience.

Licenses or Certifications

Possession of a valid drivers license may be required.

CMP certification and AutoCAD experience preferred

Examination

Evaluation of education and experience. Drug testing is included in all pre-employment processing.

Comments

During periods when the Mayor issues an emergency declaration for the City of Tampa, all employees may be required to work in preparation, response or recovery activities related to the stated emergency.
