Nature Of Work

Employees in this class are responsible for performing tasks of more than average difficulty, providing the first level of support for all customers and Inspection’s Staff (via phone, e-mail and walk-ins), scheduling of residential and commercial construction inspections, complex record keeping, administrative activities, and related support duties.  The exercise of reasonable initiative and independent judgment is required in the interpretation of inspection requirements and regulations. This position requires proficiency in typing, operation of computer equipment and software, and familiarity with Accela. Employees receive instructions orally and in writing and perform task requiring the exercise of some initiative and independent judgement. Because public contact is an integral part of the job, employees are required to exercise considerable tact and courtesy.  Work is performed under general supervision with assistance available from higher level technical personnel in dealing with problems and technically demanding questions.

Examples of Duties

Operates a computer to prepare correspondence.

Create and maintain records and reports.

Performs administrative functions such as document copies, Temporary Certificates of Occupancy and/or Stock and Training; electrical power releases and related duties.

Process any certified mailings, records research in relation to the Inspection Supervisory Team; maintain inventory list of inspector equipment; set up meetings/job interviews for prospective new hires.

Provide first level support for inspectors with Accela and laptop questions.

Meet with clients (in house) requesting help from the inspections team and supervisory team, work with Private Providers to insure compliance; review Blower Door Test Documents, Monitor Inspections Supervisor Task queue, monitor and respond to inspector request emails, CEU tracking for inspectional staff.

Maintain emergency response materials, general office supplies and preventative maintenance for inspection staff vehicles.

Back up support for construction fraud team as needed.

Performs related work as required along with other duties.

Knowledge, Skills & Abilities

Considerable knowledge of standard office practices and procedures; administrative skills; Microsoft Office applications, Power Point, Accela and Outlook.

Reasonable knowledge of Building Construction

Ability to: establish and maintain effective working relationships with other employees and the public; understand and follow moderately complex oral and written instructions; prepare reports; maintain accurate records; learn and perform administrative task readily and with accuracy

Minimum Qualifications

Graduation from an accredited high school or vocational school and one (1) year of administrative, technical or general office support. Construction technology, permitting/processing, inspections a plus; or an equivalent combination of training and experience

Licenses or Certifications

Possession of an International Code Council Certified Permit Technician certification or ability to obtain within one (1) year of employment. Possession of a valid Florida driver’s license might be required.
