Nature Of Work

An employee in this class is responsible for work activities of average difficulty involving coordination of all park special events that occur within the City of Tampa for the Parks and Recreation Department. Under general supervision, the employee is required to exercise reasonable initiative and independent judgment in communicating extensively with event organizers and City Departments to ensure compliance with Parks and Recreation rules and regulations and the Special Event Permitting process. The employee coordinates the use of the City’s banquet hall facilities according to the availability of date(s) based on the master special event calendar. Some work must be performed on weekends and during irregular hours. Work is reviewed through reports submitted, public response and results obtained.

Examples of Duties

Coordinates activities in City parks according to the availability of a suitable date(s) based on master special event calendar; applies understanding of Parks and Recreation rules and regulations and requests input from staff with specialized knowledge of the various park facilities; ensures a thorough review of each park special event by the appropriate City departments.

Communicates extensively with event organizers and City departments; engages in frequent and continuing contact with clients, applicants and event promoters to ensure compliance with department rules and regulations and the Special Event Permitting process; exercises considerable customer service skills.

Gives advice, details and provides answers to questions and concerns related to events; provides direction to clients, applicants and event promoters in the area of event permitting.

Exercises considerable care in issuing permits and ensuring event promoters are well informed; reviews insurance certificates electronically; obtains approval for permits from the Special Events Supervisor, Service Area Manager, Police, Fire, and all other applicable staff members.

Calculates cost for each special event and invoices clients for the use of the park. .

Performs related work as required.

Knowledge, Skills & Abilities

Considerable knowledge of: effective planning, scheduling and event management techniques and procedures; effective public information dissemination principles and techniques.

Working knowledge of: applicable City, county and state rules, regulations, procedures, and functions regarding all aspects of event management.

Ability to: maintain accurate records and prepare reports; follow complex oral and written instructions; explain rules, regulations, processes etc. in a clear and concise manner; establish and maintain effective working relationships with other employees, officials, vendors, sponsors, and the general public.

Minimum Qualifications

Graduation from an accredited college or university with a bachelor’s degree in parks and recreation, special event management, public relations, marketing or a related field and one (1) year of experience in event coordination and/or meeting planning; or an associate's degree in parks and recreation, special event management, public relations, marketing or a related field and three (3) years of experience in event coordination and/or planning.  

Licenses or Certifications

Possession of a valid Florida driver’s license.

Comments

Employees may be required to work rotating shifts, including nights, weekends, holidays and overtime as needed. During periods when the Mayor issues an emergency declaration for the City of Tampa, all employees may be required to work in preparation, response or recovery activities related to the stated emergency.
