Introduction

This is work involving exhibit services coordination and related duties at the municipal convention center.

Nature Of Work

The employee in this class is responsible for performing tasks of average difficulty related to exhibit service activity. Under general supervision, the employee is required to exercise reasonable initiative and independent judgment in coordinating activities related to the lessee needs. Some financial skills are essential for carrying out job functions such as cash handling and preparing event closings. The exercise of considerable tact and courtesy is also required in dealing with clients of the Tampa Convention Center and the public. Positions may be either part-time or full-time and require that work be performed on weekends and holidays and during irregular hours. Work is reviewed through conferences, reports submitted, and observation of results obtained.

Examples of Duties

Works with other departments/divisions to meet clients’ needs prior to and during events such as conventions, trade show, or public shows.

Assists exhibitors, show management, and service contractors with the processing of utility service orders, creating and maintaining files for individual events and trade shows, performing accounting, and collection of fees.

Explains services available through the center; arranges for such services as electricity, internet, audio-visual, telephones, sound and lighting; prepares event work orders to include such charges.

Utilizes computer applications to complete order forms for clients.

Maintains records and compiles recap reports of utility services revenue for event coordinator for individual events and submits reports to Accounting Department for audit.

Staffs service desk for exhibit shows to provide service needs not pre-ordered; uses laptop computer and printer to input floor orders, mail orders, and to activate phone lines for exhibitor use; monitors radio to communicate with contracted service provider and facility providers as to service requests and needs of exhibitors.

Assists in the training, scheduling and monitoring of temporary personnel for Exhibit Services Desk as necessary to adequately support planned events.

Collects from exhibitors for new order requests (mail orders, fax orders, etc.) and balance due on prepaid orders (floor orders, work orders); audits exhibitors for services used and not paid for and leaves collection notices or collects at booth; ensures all orders are collected, input correctly, and/or billed in order to close out show; assigns phone numbers, activates features requested via master to include long distance, voice mail, long distance charges, etc., and distributes exhibitor phones per orders and collects at end of show; documents problems associated with customer complaints.

Prepares event closings to include reports to accounting to invoice or refund exhibitors; prepares bank deposits for accounting; maintains and reconciles petty cash fund for service desk.

Gives reports concerning activities at staff meetings; completes daily time and activity reports; maintains physical inventory of supplies and equipment; transports equipment and supplies to the service desk daily during events.

Performs related work as required.

Knowledge, Skills & Abilities

Working knowledge of: standard office practices and procedures, including records keeping; basic accounting skills.

Some knowledge of: operation and capabilities of personal computers; standard building operation and maintenance; utility service; graphic design.

Ability to: maintain records and prepare clear and accurate reports; establish and maintain effective working relationships with other employees, lessees and the public; operate personal computers for technical or engineering calculations and record keeping.

Minimum Qualifications

Graduation from an accredited high school or vocational school and considerable office experience with one (1) year of experience in a customer service representative capacity; or an equivalent combination of training and experience.

Licenses or Certifications

Possession of a valid drivers license may be required.

Comments

During periods when the Mayor issues an emergency declaration for the City of Tampa, all employees may be required to work in preparation, response or recovery activities related to the stated emergency.
