Introduction

This is responsible work involving supervising event coordination for the municipal convention center.

Nature Of Work

The employee in this class is responsible for assigning, supervising, and reviewing the work of employees engaged in coordinating events for the municipal convention center. Work is of considerable difficulty and includes coordinating activities related to the lessee needs, scheduling of tasks for subordinate personnel, and coordinating with other division supervisors and service contractors in order to ensure that scheduled events are run in an efficient manner. Under direction, the employee must exercise considerable initiative and independent judgment in developing recommendations for policies and procedures, as well as coordinating convention activities related to the lessee needs. The employee is also expected to demonstrate considerable tact and courtesy in dealing with the public. Position requires that work be performed on weekends and during irregular hours. Work is reviewed through conferences, reports submitted, and results obtained.

Examples of Duties

Attends pre-event meetings with clients.

Reviews and makes necessary recommendations for activities as they relate to the lessee’s needs both prior to and during events such as conventions, tradeshows, or public shows.

Reviews contracts and operational schedules to make certain that the dates, times, facilities, and equipment provided are correct and that provisions made have been fulfilled.

Supervises assigned personnel engaged in determining clients needs and explaining services available to the client through the center; oversees arrangements for security, production, audio visual, telephones, sound, lighting, and any event related services; during events is responsible for on-site personnel and facilities management.

Issues set-up and service requests and schedules for events to the building operations staff and other affected staff members and service contractors.

Maintains records and prepares monthly-quarterly reports; directs correspondence to facility patrons regarding events.

Recommends employment, transfers, and promotions of subordinate personnel; administers discipline and responds to requests for leave and grievances; completes performance evaluations; provides input for budget preparation.

Performs related work as required.

Knowledge, Skills & Abilities

Considerable knowledge of: methods and techniques utilized in events coordination; public assembly facility operation and maintenance.

Working knowledge of: standard office operating practices and procedures; supervisory and communication techniques and practices.

Ability to: assign responsibilities to subordinate personnel in order to ensure the effective and efficient operation of the convention center; maintain records and prepare clear and accurate reports; establish and maintain effective working relationships with other employees, event promoters, and the general public.

Minimum Qualifications

Graduation from an accredited college or university with a bachelor’s degree in public relations, business administration, recreation, mass communications, social sciences, or a related field and three (3) years of experience in events coordination, meeting planning, or a related field including six (6) months experience at a public assembly facility, and six (6) months related supervisory experience; or an equivalent combination of training and experience.

Licenses or Certifications

Possession of a valid drivers license may be required.

Comments

During periods when the Mayor issues an emergency declaration for the City of Tampa, all employees may be required to work in preparation, response or recovery activities related to the stated emergency.
