Definition

Under general direction of the Commissioner of Athletics for the San Francisco Unified School District, the Athletic Activities Coordinator assumes responsibility for the smooth and efficient operation of the office of the District's Athletic program, including the development and implementation of office policies and procedures; coordination of athletic event scheduling; procurement of equipment and supplies; and preparation, and monitoring contracts of coaches and assignments of volunteers.

Distinguishing Features

The Athletic Activities Coordinator is distinguished from the Management Assistant series by its performance of a highly specialized function and its unique program responsibilities associated with the public school setting.

Supervision Exercised

The incumbent coordinates activities of volunteers and as-needed clerical staff assigned to support the District-wide athletic program.

Examples of Important and Essential Duties

According to Civil Service Commission Rule 109, the duties specified below are representative of the range of duties assigned to this job code (class) and are not intended to be an inclusive list.

1. Develops and implements American Athletic Association league and playoff schedules for all sports offered by the unified school  district; identifies and schedules officials for games played in middle and high school leagues in all sports; and coordinates coverage by licensed medical personnel for high school football league games.

2. Compiles and arranges for publication of statistical data both individual and aggregate; develops athletic program information databases and reports.

3. Prepares and submits contracts for Board of Education approval of coaching staff; prepares and processes requisitions for payment for coaches' services; assists site administrators in securing the services of coaches; assists in the recruitment of volunteer coaches and temporary personnel engaged in athletic program activities and events.

4. Disseminates eligibility rules and processing eligibility forms for student athletes, coaches and volunteers; advises program participants of NCAA and NAIA eligibility rules; and assists school administrative and coaching staff with game administration issues.

5. Publishes media guides, game programs, sport-specific yearbooks and other promotional publications, develops and maintains the Athletic Department website; and assists AAA schools with promotional activities.

6. Disseminates information on coaches' training programs and Athletic Directors' training programs; and disseminates standards and techniques on coaching and athletic department management.

7. Coordinates preparation of responses to parents', students' and coaches' concerns regarding athletic program activities and issues.

8. Organizes meetings, events and outreach activities to support and promote athletic activities and programs throughout the school district.

Knowledge, Skills and Abilities

Knowledge of:  Administrative and management principles, techniques, methods, procedures, business practices, laws and regulations relevant to athletic programs in large urban school districts; relevant Federal, State and local rules and legislation related to athletic programs in public school districts, including the San Francisco Board of Education policies and administrative regulations and relevant provisions of the California Education Code; school sports, requirements, game rules, coaching goals for middle and high school athletic programs; computer database, spreadsheet, software, and web site development programs, including Microsoft Office Suite.

Ability to:  Address multiple projects and a comprehensive knowledge of business practices and department processes; apply techniques, methods, procedures, principles and regulations in the areas of student athletics, public relations, and personnel management; analyze and interpret policies rules and regulations relevant to student athletes; analyze statistical data and prepare comprehensive analyses and reports of athletic program activities; interact effectively and professionally with the public, students, administration, community groups, other public employees and agencies, and private contractors; communicate effectively, both orally and in writing to disseminate, publicize and advocate for the athletic programs.

Experience and Training

1. Possession of a baccalaureate degree from an accredited college or university;  AND
2. Two years progressively responsible experience in athletic business operations in a public school setting

SUBSTITUTION:
An equivalent combination of education and experience providing the required skill and knowledge for successful performance.

License or Certificate

Requires possession of a valid driver license.

Disaster Service Workers

All City and County of San Francisco employees are designated Disaster Service Workers through state and local law (California Government Code Section 3100-3109). Employment with the City requires the affirmation of a loyalty oath to this effect. Employees are required to complete all Disaster Service Worker-related training as assigned, and to return to work as ordered in the event of an emergency.
