Definition

 Under general direction, functions as confidential secretary or executive assistant to the Superintendent of Schools, which is the highest level executive administrator in the San Francisco School District; performs a wide variety of complex, confidential, and sensitive administrative support work involving a high degree of responsibility for public contact with school officials, including the Board of Education, District managers and staff, the public, students and parents; and performs related duties as required. 

Distinguishing Features

Positions in this class are distinguished from classes in the executive secretary series by exercising the broadest level of independent judgment, decision-making and action in providing sensitive, complex, and confidential administrative assistance to the superintendent of the school district, which maintains approximately 135 schools and numerous educational programs serving 60,000 students.  Appointments to the positions are exempt from civil service pursuant to Charter Section 10.104 and incumbents serve at the pleasure of the Superintendent.

May assign, supervise, and review the work of clerical and/or secretarial personnel in the Superintendent's office.

Examples of Important and Essential Duties

Job Related and Essential Functions:  According to Civil Service Commission Rule 109, the duties specified below are representative of the range of duties assigned to this job code and are not intended to be an inclusive list.
 
1. Independently researches, prepares and reviews a variety of reports, records, and correspondence, including narrative and statistical reports related to District administration and operations.

2. Interprets and explains District policies, procedures, and administrative decisions related to District operations, including polices and administrative provisions of the Board of Education; interacts with representatives of federal, state and local agencies; administrative, credentialed and classified staff of the District; the general public, students, and parents.

3. Investigates and responds to inquiries and complaints, and coordinates with appropriate staff and administrators to ensure immediate resolution. 

4. Develops and implements policies, procedures, and systems for maintenance of office records and reports.

5. May assign, supervise, and review work of clerical personnel and student interns employed in the office of the Superintendent.

6. When appointed to confidential secretary position, screens calls and visitors for the Superintendent, oversees the maintenance of the Superintendent's appointment calendar, and may take and transcribe dictation.

7. Performs related duties and responsibilities as assigned. 

Knowledge, Skills and Abilities

Knowledge of:  Comprehensive knowledge of current office management practices, procedures and equipment; and policies and procedures related to the operation of a large, complex public school district.

Ability to:  plan, organize, coordinate and review administrative support activities in the office of the Superintendent; assume responsibility and use judgment, tact, and diplomacy when representing the Superintendent and implementing the mission and goals of the District; research complex problems and issues, and independently prepare reports and recommendations; respond to a variety of sensitive and complex issues; work within a dynamic environment, with multiple competing priorities; organize and maintain a wide variety of office records and files; utilize word processing and database software to prepare records, reports and memoranda; and  communicate clearly and concisely, both orally and in writing. Essential duties require the ability to work in a standard office environment, which may involve prolonged sitting, bending and the operation of office equipment. 

Experience and Training

Five years of responsible experience as an executive secretary or executive assistant in a large, dynamic organization, preferably in a large public sector environment.
 

Disaster Service Workers

All City and County of San Francisco employees are designated Disaster Service Workers through state and local law (California Government Code Section 3100-3109). Employment with the City requires the affirmation of a loyalty oath to this effect. Employees are required to complete all Disaster Service Worker-related training as assigned, and to return to work as ordered in the event of an emergency.
