According to Civil Service Commission Rule 109, the duties specified below are representative of the range of duties assigned to this job code/class and are not intended to be an inclusive list.
1. Transcribes various material such as court documents, background investigations, legal, medical and psychiatric reports, hearing minutes, or statistical reports by typing material in order to produce a printed document.
2. Performs complex word processing activities involving text editing, proofreading, merging and the use of specialized fields.
3. Attends meetings, table top exercises, and conferences to sit and listen in on data/presentations to scribe minutes in full detail.
4. Maintains a database filing system by retrieving, deleting and updating material in order that the data will be kept accessible and current.
5. Proofreads typed material to ensure correct spelling, punctuation and grammar.
6. Interfaces with social workers, office managers, physicians, law enforcement staff, and other personnel to obtain or verify information about assigned material and to handle problems via telephone and in person; interfaces with co-workers in order to work harmoniously as a team.
7. Performs related duties and responsibilities as assigned.
Knowledge of: office practices and procedures which refers to knowledge of departmental policy, rules, practices and procedures acquired through a reasonable period of training or instruction; basic word processing software applications on a personal computer and familiarity with various document format designs.
Ability to: proofread (recognize and use proofread marks) and edit hand written documents such as reports, data, or memoranda by utilizing knowledge of spelling, standard grammar and proper usage; manage the workload by working independently with a minimum supervision so that assignments are completed in a timely manner; work amid numerous interruptions and meet urgent deadlines; interact with employees, managers, members of other agencies and the public in a positive and sensitive manner; speak clearly and distinctly, and express ideas and convey information in a concise and effective manner; hear and transcribe documents accurately.
These minimum qualifications establish the education, training, experience, special skills and/or license(s) which are required for employment in the classification. Please note, additional qualifications (i.e., special conditions) may apply to a particular position and will be stated on the exam/job announcement.
1. One (1) year of verifiable clerical experience performing typing or data entry duties; AND
2. Ability to transcribe accurately with no more than a 2% error rate; AND
3. Ability to type 50 wpm net
Substitution:
Satisfactory completion of at least 240 hours of a clerical training program may be substituted for six (6) months of the required experience.
