About the Position: The Oklahoma Department of Mental Health and Substance Abuse Services (ODMHSAS) Human Resources Development (HRD) Division is seeking a full-time administrative training assistant II position. This person is the face and voice of the ODMHSAS Training Institute and ensures we make a good first impression on partners, visitors, and customers. The ideal candidate will have a warm, helpful, friendly personality while being perceptive, detail-oriented, dependable, and disciplined. A customer-oriented approach is essential, and this person should be able to navigate complaints successfully and give accurate information. The goal is to make customers, and guests feel expected, welcomed, well-informed, comfortable, and valued.

Critical responsibilities include answering calls, welcoming guests, helping customers respond to routine inquiries and issues, and supporting the Training Institute team operations. This person will be responsible for answering all Training Institute calls and directing callers as needed, scheduling meetings, taking notes, scheduling reminders, and coordinating office activities. In addition, this position serves as the backup for ODMHSAS reception during breaks and leave.
Additional duties will include data entry for HRD, scheduling support for HRD training events, accounts payable and receivable for Training Institute, arranging travel accommodations for HRD team members, and spending for HRD training events. In addition, this person will support monitoring and ordering Training Institute inventory, running errands, and ordering supplies. Additional supporting duties include coordinating and scheduling meetings, maintaining electronic and physical record-keeping, and completing routine purchases while assisting with out-of-office collections, e.g., pick-ups (trophies, awards, dry cleaning).

This position will also type the minutes of official meetings, tabular data, accounting reports, and forms, compose important correspondence frequently without review or instructions, examine, check, and verify reports for completeness, appropriateness, adequacy, and accuracy; determines conformity to established requirements. And perform other duties as assigned.

Minimum Qualifications and Experience:
Two years of experience performing various clerical and typing work and administrative experience, OR an equivalent combination of education and experience.

Preference for LMS Experience, Training, project management, or event planning experience may be given.

Special Requirements:
The selected individual must be willing to fulfill any job-related travel typically associated with the position.
