Position Summary of Responsibilities
• Provide outstanding customer service to internal and external customers seeking information.
• Assist UI Benefits Department in a variety of functions.
• Process Incoming Subpoena requests.
• Manage incoming mail and faxed documents.
• Participate in the required safety and security protocols of the Oklahoma Employment Security Commission.

Position Essential Functions
*Process Court issued Subpoenas, and/or notarized Waiver of Confidentiality Forms received from claimants, employers, and attorneys within 20 days of receipt in the Benefit Administrative Unit. 
*Answer telephone inquiries from external customers and assist them with records requests, concerns, receipt of payments for requested records, or other general questions.
*Scan Subpoena files, records, and invoices into the Docushare system, validate scanned files, and correct scan errors.
*Facilitate and coordinate documents and record searches in the G-Link mainframe system to mail out invoices for payment within the established time frames.
*Retrieve records from the Warehouse or Appeal Tribunal and return them after processing and filing them in the appropriate section.
*Disperse inter-office mail received in the Unemployment Insurance (UI) Benefits Department.
*Collect and record the number of miscellaneous checks received within the department.
*Assist the Benefits Team with scanning benefits documents such as Federal claim responses and other documents.
*Process Benefits Reports such as the Address Change and Payment Account Rejection reports.
*Participate in UI Benefits Department team meetings.
*Participate in staff-required training and cross training in order to provide professional, timely and additional assistance with the UI Benefits Department duty requirements. 
*Utilize office machinery in accordance with safety / security protocols.

Physical Demands/Work Environment
Work is typically performed in an office setting with climate-controlled settings and exposure to moderate noise level. While performing the duties of the job, employee is required to talk, stand, walk, and reach with hands and arms.  This position requires regular periods of sitting or standing and daily use of computer and phone.  It also requires the occasional use of the office machinery in accordance with safety and security protocols. This position requires travel to a local non climate-controlled warehouse to pull and file records, use of a ladder is required and the ability to lift approximately 25 lbs.


Education and Experience Requirements for this position require 5 years of experience in employment services, career or vocational guidance and counseling, personnel, recruitment, training, customer services or social services related work; or an equivalent combination of education and experience substituting thirty semester hours from an accredited college or university for 1 year of the required work experience up to 3 years of experience substitution.

Special Skills/Requirements
*Computer Skills – Employee must be capable of proficiently using the OESC’s standard software (Microsoft Office - Word, Outlook, Excel, Access, and Teams), and the Internet, as well as proficiency to learn other software as needed.
*Employee must be capable of lifting, carrying, and moving objects of up to 25 pounds.
