Administrative Assistant

The Administrative Office of the Courts is seeking a self-motivated professional with excellent communication and organizational skills to join the organization as Administrative Assistant.  The successful candidate will possess the skills necessary for working effectively with administration and co-workers as well as assisting callers and visitors to the Oklahoma Judicial Center, which houses the Supreme Court, Court of Criminal Appeals, the Administrative Office of the Courts and the Offices of the Appellate Court Clerk.  This is an unclassified position.

Responsibilities will include but are not limited to:
•Greets visitors, manages incoming telephone calls on multiple lines, secures and provide requested information or directs the request to those who can provide the caller with the information or service.

•Sorts and distributes mail between the various offices housed in the Oklahoma Judicial Center.

•Prepares correspondence, reports, schedules, statistics and other documents as requested and provides additional administrative assistance including copying, faxing, shredding, placing phone calls, scheduling appointments and mailing materials for various departments within the Administrative Office of the Courts.

•Assists with maintaining the phone extension list for the Oklahoma Judicial Center and the birthday list for the AOC.

•Serves as the liaison for the Certified Shorthand Reporter Program which includes processing applications, record-keeping and licensing for all of Oklahoma’s Official and Freelance Court Reporters.

•Assists with record-keeping and licensing for the Oklahoma Courtroom Interpreter Program.
 
Job Requirements:
•Three years of experience in customer service; telephone procedures; technical clerical office work, or equivalent combination of education and experience.

•Proficient with Microsoft Outlook, Windows and Microsoft Office Suite of applications.

•Ability to operate various types of office equipment including a multi-line phone console.

•Possess excellent oral and written communication skills.

•Ability to work independently and in cooperation with others.

•Communicate professionally with all levels of management.

•Appropriately handle sensitive and confidential documents.

•Possess strong and accurate organizational and data entry skills.

•Ability to work under pressure.

•Prepare mass mailings and extensive photocopy work.

•Assist with preparation for various events and conferences throughout the year.

•Ability to prioritize workload and the flexibility to adjust to changing workloads and meet deadlines for multiple assignments.
