OMES is seeking a full time Procurement/Administrative Assistant. This is an unclassified position in state government, located in Oklahoma City.  OMES offers a comprehensive Benefits Package, including a generous benefit allowance to offset the cost of insurance premiums for employees and their eligible dependents.  For more information about the benefit allowance [click here].The annual salary for this position is up to $37,500 based on education and experience.

Position Summary
The Procurement/Administrative Assistant primarily performs duties that support Agency Business Services staff and client agencies. This includes processing documents for payment submission, distributing payment information to vendors and client agencies, and providing support to ABS Procurement Specialists in the contracting and procurement of goods and services throughout the procurement cycle. This also includes gathering and completing various forms and documents, market research, creating and or processing purchase requisitions and purchase orders, changes orders and providing backup support when the assigned Procurement Specialist is unavailable. This is a customer service oriented position and requires a high level of communication with client agencies by email, phone, and client interactions as well working with ABS client teams. This position requires a strong attention to detail.

Position Responsibilities
• Receives correspondence from client agencies either from physical mail, electronic delivery service, telephone, or in person.
• Processes requests in PeopleSoft based on client request under the direction of the ABS Procurement Specialist.
• Performs other assigned duties related to procurement process.
• Keys and types data accurately into PeopleSoft financial system as well as other standard computer systems.
• Performs other customer services related duties as assigned.

Essential Functions
• Receives correspondence from client agencies either from physical mail, electronic delivery service, telephone, or in person.
• Processes requests in the appropriate system or software based on client request under the direction of the Procurement Specialist.
• Keys and types data accurately into PeopleSoft financial system as well as other standard computer systems.
Other Duties
• Clerical duties as assigned and as needed; to include processing incoming mail, maintaining files, scanning files and sorting.

Education and Experience
Bachelor’s degree in business or related field plus one (1) year of experience as an assistant or higher level; or equivalent combination of education and experience.

Valued Skills and Experience
Preference may be given to candidates with:
• Procurement exposure, knowledge or skills
• Experience in the use of PeopleSoft Procurement/Finance system
• Microsoft Office Applications: Excel, Outlook, and Word
• Typing speed of greater than 30 words per minute

Physical Demands and Work Environment
This position must be able to sit at a computer work station for prolonged periods of time. Additionally, must be able to work in an office environment where bending and stooping is required.
