Positions in this job family are assigned responsibilities related to the retention or storage of various public records, documents, archives, and files using available optical imaging equipment and processes, such as microfilming and computer aided reproduction technology.
The functions within this job family will vary by level, but may include the following:
Evaluates the quality and suitability of microfilm or other reproduction materials in accordance with applicable standards and regulations.
Prepares material for filming; notes missing material from sequence; marks targets and selects appropriate material.
Operates microfilm or other optical imaging equipment; such as film processor, duplicator, microfilm viewer, printer and inspection station.
Performs minor equipment adjustments; creates and maintains accession records and indexes; retrieves information; maintains appropriate files and records of microfilm or other reproduction materials.
Assists in the training of other optical imaging/microfilm operators by providing direction and assistance.
Assists in the planning, development, and implementation of office methods and procedures, with respect to the operation of an optical imaging/ microfilm unit.
Provides technical assistance to microfilm equipment operators and advises others of the changes needed to bring optical imaging or microfilm products into conformance with agency standards.
Serves as a consultant to state users agencies; inspects and monitors micrographics laboratories certified by the State Records Administrator.
KNOWLEDGE, SKILLS, & ABILITIES
Level I: Knowledge of basic office procedures and equipment; of filing; and of record keeping. Ability is required to establish and maintain effective working relationships with others; to follow oral and written instructions; and to perform clerical and technical machine operations.
Level II: Those identified in Level I plus knowledge of microfilm and microphotography; and of the operation and maintenance of microphotography or other optical imaging equipment. Ability is required to conduct several projects simultaneously; and to initiate and maintain accurate work records.
Level III: Those identified in Level II plus knowledge of methods of processing, developing and storing film; of the operation and maintenance of optical imaging or microfilm related equipment which includes cameras, processors, and duplicators; of the proper methods of film exposure in relation to the density of the original document; of report writing; of optical imaging or microfilm storage, quality evaluation and retrieval techniques; of supervisory principles and practices; and of applicable statues and rules concerning the reproduction and retention of public documents and records.
The Optical Imaging Specialist job family consists of three levels of work which are distinguished by the level of complexity of the specific job assignments, the extent of responsibility assigned, the level of expertise required for the completion of assigned projects, and the responsibility for supervision of others.
Level I: This is the basic level of this job family where incumbents primarily perform entry-level work in a training status to build their skills in the use of available optical imaging or microfilm equipment and processes and the preparation of materials to be imaged or microfilmed.
Level II: This is the career level where employees perform a full range of technical and clerical tasks associated with the optical imaging or microfilming of a variety of public records, documents, and archives. Responsibility may also be assigned for assisting in the training of other optical imaging specialists by providing direction and assistance or for exercising functional supervision over other employees in the absence of unit supervisor.
Level III: This is the leadership level where employees are assigned responsibility for the supervision of lower-level staff. This work includes reviewing and evaluating user requests, making work assignments, advising staff on project requirements, and evaluating results of completed work. At the Department of Libraries, inspects and monitors micrographics or optical imaging laboratories certified by the state records administrator.
Level I: Education and Experience requirements at this level consist of one year of experience in a clerical capacity.
Level II: Education and Experience requirements at this level consist of one year of experience in the operation and maintenance of microfilm, microphotography, or other optical imaging equipment.
Level III: Education and Experience requirements at this level consist of those identified in Level II plus two additional years of experience in the operation and maintenance of optical imaging or microfilm equipment.
