Purpose

The Assessment Services Assistant-Senior performs complex administrative support functions, such as processing tax and assessment roll corrections, remission of taxes when a property assessment changes, and property ownership transfers.

Essential Functions

Administrative

  • Process corrections to the tax and the assessment rolls.
  • Notify taxpayers of tax roll changes and refunds.
  • Manage the processing of tax remission, add omitted taxes to the tax roll, and communicate correct tax bills to the City of Milwaukee Office of the City Treasurer.
  • Process ownership changes by reviewing legal descriptions through property deeds and transfer returns.
  • Process stipulations and prepare resolutions approving settlements made with stipulations.
  • Prepare and process correspondence, reports, meeting agendas and minutes, and other documents using Microsoft Word and other automated systems.
  • Proofread written materials to ensure accuracy and correct grammar, punctuation, vocabulary, and spelling.

Calendar Management

  • Manage calendars for staff, such as Board of Review meetings.
  • Prepare meeting agendas; attend and sometimes provide administrative support for meetings; record minutes.
  • Prepare resolutions for approval of assessment changes due to stipulations.

Data and File Management Customer Service

  • Enter, update, and maintain data in various computer databases, including Microsoft Office and the Catalis AssessPro Computer Assisted Mass Appraisal (CAMA) system.
  • Prepare statistical and financial statements records.
  • Maintain files in both paper and electronic formats.

Customer Focus

  • Provide prompt, courteous, and customer-focused service, information, and assistance to departmental employees, other City departments, and the public.

Minimum Requirements

  1. Four years of progressively responsible administrative support experience in an office setting performing duties related to the essential functions of this position.

Equivalent combinations of education and experience may be considered.

  • Ability to operate a multi-line telephone, including placing calls on hold and redirecting calls.
  • Ability to manage staff calendars and provide administrative support for meetings.

  • Verbal communication skills to convey information clearly and effectively to customers, coworkers and management.

Current Salary

The current starting salary (PAY RANGE 5HN) is $56,842 annually, and the current resident incentive salary for City of Milwaukee residents is $58.547 annually.

Selection Process

THE SELECTION PROCESS will be job related and will consist of one or more of the following: an evaluation of education, experience and/or responses to supplemental questions; a written or performance test, a structured interview or other assessment methods. The Department of Employee Relations reserves the right to call only the most qualified candidates to structured interviews and performance examinations. Structured interviews may include written exercises. Selection process component weights will be determined by further analysis of the job.
