Purpose
The Program Assistant II in the Milwaukee Water Works (MWW)
Water Quality Section monitors and performs updates to the systems that track
the collection and analysis of water samples for lead, copper and other metals.
Essential Functions
LEAD TESTING SCHEDULING SUPPORT AND FOLLOW-UP
- Provide daily updates to the list of properties scheduled for lead testing using a database, Microsoft Office products, laboratory information management system (LIMS) and other software tools.
- Work directly with MWW Distribution Section staff to identify properties scheduled for lead service line replacement and coordinate lead testing before and after the replacement.
- Ensure that properties are tested within the designated timeframe after lead service line replacement, in compliance with the Lead and Copper Rule Revisions.
- Work with Water Laboratory Technicians to contact customers and schedule testing, keeping detailed records of all customer contacts and attempted contacts.
- Communicate respectfully and compassionately, while providing scientifically accurate information to customers; explain testing procedures and educate customers on lead-safe practices and assist in answering customer questions about lead in water.
- Work directly with primary schools and childcare centers to schedule lead testing, in compliance with Lead and Copper Rule Revisions. Distribute information to secondary schools and other customers regarding the process for lead testing.
- Ensure sampling follow through by contacting customers after testing kit has been delivered. Arrange the pick-up of completed sample kits. Prepare and send test results to customers.
- Assist in the preparation of letters, educational materials and sampling instructions relative to lead in water.

Minimum Requirements
- Regular status as City of Milwaukee employee, having successfully completed a probationary period for a civil service position or status as a City of Milwaukee employee in a fixed term position.
- Four years of administrative support experience performing duties related to the position.
Equivalent combinations of education and experience may also
be considered.
Knowledge, Skills, Abilities & Other Characteristics
TECHNICAL
- Knowledge of best practices for providing administrative support.
- Ability to read and apply job-related documents, such as instructions, policies, procedures, reports, ordinances, and contracts.
- Ability to create and distribute documents and maintain detailed records.
- Ability to learn and use the City’s online meeting and video conferencing platforms.
- Proficiency using word processing and spreadsheet applications to produce documents and reports.
- Knowledge of database management and the ability to perform accurate data entry.
- Ability to learn and use a laboratory information management system database, a database of lead service line replacements, and other data management tools.
- Ability to operate standard office equipment, including copiers, printers, and label printers.
- Knowledge of the English language, including proper sentence structure, grammar, and punctuation.
- Ability to accurately maintain numerical and alphabetical filing systems.
- Ability to process mail and manage supplies.

- Written communication skills to proofread documents and write reports and other documents that are thorough, clear, well-crafted, and error-free.
- Verbal communication skills to convey information clearly and effectively to customers and coworkers.

Current Salary
The current salary range (Pay Range 5FN) is $44,257-$50,197 annually, and the resident incentive salary for City of Milwaukee residents is $45,585-$51,703 annually. Appointment will be made in
accordance with the City of Milwaukee Salary Ordinance.
Selection Process
THE SELECTION PROCESS will be job related and will consist
of one or more of the following: an evaluation of related education, experience
and accomplishments, an evaluation of written communication, interviews, and/or
other assessment methods. The Department of Employee Relations and the MWW reserve
the right to call only the most qualified candidates to proceed in the
selection process. Information from the selection process will be used to make
a hiring decision. Selected candidates will be transferred and/or promoted to
the position.
INITIAL FILING DATE – The selection process will be held as soon as practical after the deadline listed above. NOTE: Transfer/Promotional Opportunities and Promotional Examinations are not open to Milwaukee Public Schools employees or to the public. Only current City of Milwaukee employees and civilian personnel in MFD and MPD hired through a City Service Commission process who have successfully passed a probationary period for a Civil Service position or who have status as a City of Milwaukee employee in a fixed term position will be considered. Individuals with exempt, provisional, temporary, or emergency appointments are not eligible for transfer.
