Purpose

Applying an advanced knowledge of legal terminology, documents and procedures, the Legal Office Assistant II provides administrative support to the Assistant City Attorneys.

Essential Functions

Administrative

  • Process, prepare, type, and copy various documents, including, pleadings, correspondence, opinions, ordinances, contracts and agreements.
  • Generate complex legal documents such as briefs, motions, reports and memorandum from minimal instructions and in support of assigned attorneys.
  • Prepare responses to legal correspondence either from dictation, verbal instruction or independently.
  • Review files, case documents, and affidavits for completeness, timeliness and errors; provides information to attorneys and research case files.
  • Contact other attorneys and parties to legal actions to obtain or relay technical information related to the case.

Customer Service

  • Answer telephones, direct calls, and take messages.
  • Provide excellent customer service to internal and external customers by phone and in person, including responding to inquiries and explaining departmental policies and procedures. 

Data and File Management

  • Enter and retrieve case information using appropriate computer-based data systems; prepare reports requiring the extraction of database information.
  • Maintain filing system, including filing documents in paper and electronic formats.
  • Assist City Attorneys with gathering necessary case information.

Minimum Requirements

  1. Two years of legal administrative support experience within a law office or legal environment.

Knowledge, Skills, Abilities & Other Characteristics

Technical

  • Knowledge of legal documents, briefs, pleadings, correspondence, and procedures.
  • Knowledge of administration and clerical procedures.
  • Ability to read and understand work related documents.
  • Ability to utilize the Microsoft Office Suite and Case Management software such as ProLaw and/or eDocs.
  • Knowledge of the structure and use of the English language, including word meaning, spelling, composition and grammar.

Interpersonal/Communication

  • Verbal communication skills to effectively communicate with residents, co-workers and management.
  • Written communication skills to prepare documents and reports.
  • Ability to work with diverse groups of people, including coworkers, supervisors, public officials, people in other departments and the public.
  • Ability to provide excellent customer service to individuals from all economic, educational, and cultural backgrounds.

Organizational

  • Ability to manage a high level of detail with accuracy.
  • Ability to be adaptable to changing situations.
  • Ability to coordinate and organize work assignments and complete multiple projects simultaneously.
  • Ability to coordinate meetings and manage calendars for supervisors and staff.
  • Ability to process mail, manage supplies, and ensure that office equipment is properly maintained.

  • Ability to remain composed during stressful situations.
  • Ability to use logic to determine the strengths and weaknesses of various approaches to problems.

Current Salary

The current starting salary (Pay Range 6ON) is $53,074 annually, and the resident incentive starting salary for City of Milwaukee residents is $54,666 annually.

Selection Process

THE SELECTION PROCESS will be job related and will consist of one or more of the following: an evaluation of education, experience and/or responses to supplemental questions; a written or performance test, a structured interview or other assessment methods. The Department of Employee Relations reserves the right to call only the most qualified candidates to structured interviews and performance examinations. Structured interviews may include written exercises. Selection process component weights will be determined by further analysis of the job.
