Purpose

The Library Technical Services Specialist provides support for technical services in both the Acquisitions/Serials Department and the Copy Cataloging and Database Maintenance Department. The Library Technical Services Specialist provides administrative support for acquiring and preparing materials for the Central Library and Branch agency collections through physical preparation and electronic record creation and maintenance.

Essential Functions

Materials Processing and Preparation:

  • Create and update records in the online database representing many formats of materials.
  • Perform electronic record enhancements and updates with daily and project work.
  • Attain library data and codes expertise relative to the Integrated Library System (ILS) and interrelated library services.
  • Write Radio-Frequency Identification (RFID) tags for material and ensure accurate distribution of materials.
  • Apply ownership head stamps, labels, barcodes, book labels, spine labels, routing slips or labels, depository labels, RFID tags, and other special labels in alignment with collection practices.
  • Participate in systemwide collection reclassification and item work projects: cover book jackets with protective sheaths, add disc pockets, and perform minor bindery and repairs; operate the CD & DVD disc cleaning machine.

Acquisitions and Serials Technical Services:

  • Create, order, and brief bibliographic records for all formats.
  • Prepare and send electronic orders.
  • Handle shipments, receipt, verification, and appropriate routing of incoming collection materials.
  • Create and update check-in records for subscriptions, standing orders, microforms, and government documents.
  • Identify items in need of action related to title variations, publication patterns, and cancelled or ceased publications.
  • Prepare serials for shipment to bindery.
  • Sort newspapers, magazines, and governmental documents for check-in.
  • Process errors and imperfect copies for return and request vendor credits.
  • Prepare and process invoices using the Library’s ILS and the City’s Financial Management Information System (FMIS), and support physical and electronic financial record management.

Copy Cataloging and Database Maintenance Technical Services:

  • Verify bibliographic information.
  • Shelf list new items in all formats, accurately assigning call numbers and avoiding duplication.
  • Perform reinstatement routines; re-package non-book material.
  • Recall material systemwide to correct errors or update materials of all types.
  • Update status of missing items in database.

Administrative Support:

  • Provide customer service and problem resolution via phone and email.
  • Sort and deliver interoffice, United States Postal Service (USPS), and United Parcel Service (UPS) mail within Central Library.
  • Assist with providing training to new employees and cross-training current staff.
  • Assist in developing, documenting, and maintaining departmental procedures.

The Library Technical Services Specialist must be willing and able to do the following:

  • Work at times that meet the needs of the library.
  • Perform medium physical work (i.e., work that involves stooping, reaching, standing, and walking) on a daily basis.
  • Lift and move items continually weighing up to 10 pounds, frequently up to 20 pounds, and on occasion up to 50 pounds, as well as push and pull wheeled loads weighing approximately 100 pounds (i.e., a loaded book truck).

Minimum Requirements

  1. Two years of full-time office experience, including one year of data entry.

Equivalent combinations of education and experience may also be considered.

  • Ability to learn and use multiple ILS modules, RFID software, FMIS, Baker & Taylor software, and Microsoft productivity software.

  • Ability to accurately calculate basic arithmetic problems.

Current Salary

The current starting annual salary (Pay Range 5DN) is $39,308 and the resident incentive starting salary for City of Milwaukee residents is $40,487.

Selection Process

The Selection Process will be job related and will consist of one or more of the following: an evaluation of education, experience and/or responses to supplemental questions; a written or performance test, a structured interview or other assessment methods. The Department of Employee Relations reserves the right to call only the most qualified candidates to structured interviews and performance examinations. Structured interviews may include written exercises. Selection process component weights will be determined by further analysis of the job.
