Purpose

The Office Assistant III provides administrative support for the Department of Neighborhood Services (DNS) Condemnation Section.

Essential Functions

Administrative Support

  • Perform a diverse variety of clerical assignments within the condemnation section.
  • Prepare, process, and file different project and applications including demolitions projects.
  • Prepare and process correspondence, reports, and other documents using Microsoft Word and other automated systems.
  • Assist with completing and mailing bills, checks, invoices, contracts, and/or policies.
  • Work with others on a team to complete special projects.

Data Maintenance

  • Complete data entry for the demolition permits and applications.
  • Enter, update, and maintain data in various computer databases such as Accela, Lerado, Accurint, and Land Management System (LMS).
  • Select and interpret data such as property ownership, county title information, condemnation contracts, and permit application data.

Meeting Support

  • Maintain supervisors’ schedules and manage calendars for staff such as meeting and vacation calendars.
  • Prepare meeting agendas, attend meetings, and record minutes.

Minimum Requirements

  1. Regular status as a City of Milwaukee employee, having successfully completed a probationary period for a civil service position, or status as a City of Milwaukee employee in a fixed term position.
  2. One year of office support experience coordinating and working on a variety of clerical assignments related to the essential functions, such as serving customers, using computers to enter data and prepare documents, and organizing files.

TECHNICAL

  • Knowledge of office procedures, systems, terminology, and equipment.
  • Ability to read and understand work-related documents such as policies and procedures.
  • Ability to follow instructions given by supervisors.
  • Knowledge of standard software applications to create documents, use spreadsheets, and generate reports.
  • Ability to learn specialized computer applications to query databases and perform other job-related transactions.
  • Ability to perform accurate data entry.
  • Ability to learn specific department procedures and policies.

COMMUNICATION, INTERPERSONAL, AND CUSTOMER SERVICE

  • Written communication skills to be able to prepare clear and accurate correspondence and documents.
  • Knowledge of English writing mechanics and the ability to proofread documents and reports.

  • Customer service skills, empathy, and tact to be able to serve the public and represent the department positively.
  • Interpersonal skills to be able to work effectively with supervisors and staff.

Current Salary

OFFICE ASSISTANT III (Pay Range 6FN): The current starting salary is $36,119 annually, and the current resident incentive starting salary for City of Milwaukee residents is $37,203. Appointment will be made in accordance with the City of Milwaukee Salary Ordinance.

Selection Process

THE SELECTION PROCESS will be job related and will consist of one or more of the following: an evaluation of related education, experience and accomplishments, an evaluation of written communication, interviews, and/or other assessment methods. The Department of Employee Relations and the Department of Neighborhood Services reserve the right to call only the most qualified candidates to proceed in the selection process. Information from the selection process will be used to make a hiring decision. Selected candidates will be transferred and/or promoted to the position.

INITIAL FILING DATE – The selection process will be held as soon as practical after the deadline listed above. NOTE: Transfer/Promotional Opportunities and Promotional Examinations are not open to Milwaukee Public Schools employees or to the public. Only current City of Milwaukee employees and civilian personnel in MFD and MPD hired through a City Service Commission process who have successfully passed a probationary period for a Civil Service position or who have status as a City of Milwaukee employee in a fixed term position will be considered. Individuals with exempt, provisional, temporary, or emergency appointments are not eligible for transfer.
