Purpose
The Office Assistant III (Part-Time) assists the Board of
Zoning Appeals (BOZA) Administrative Coordinator in receiving and reviewing
applications for variance and special uses; organizes submission materials and
prepares related communications and notices; and assists with board meetings, providing
information to the public, appellants, alderpersons, and other departments.
Essential Functions
BOZA APPLICATIONS
- Assist appellants with Board applications, checking for completeness and accuracy.
- Provide information about board procedures, timing, and requirements.
- Assemble and process application materials for special uses and variances.
- Review denial letters for accuracy when completed.
COMMUNICATIONS
- Provide information to the public, appellants, alderpersons, other departments, and agencies.
- Publish Board of Zoning Appeals hearings in Legistar.
- Notify petitioners and interested parties of the board of zoning appeals hearings via mail.

Office Assistants must be able to stand and walk as well as perform light physical work, including exerting up to 10 pounds of force to lift and move objects.Minimum Requirements
- One year of office support experience coordinating and working on a variety of complex clerical assignments related to the essential functions, such as serving customers, using computers to enter data and prepare documents, and organizing files.
Equivalent combinations of education and experience may be considered.

TECHNICAL
- Knowledge of office procedures, systems, terminology, and equipment.
- Ability to read and understand work-related documents such as policies and procedures.
- Ability to follow instructions given by supervisors.
- Knowledge of standard software applications to create documents, use spreadsheets, and generate reports.
- Ability to learn specialized computer applications to query databases and perform other job-related transactions.
- Ability to perform accurate data entry.
- Ability to perform basic mathematical calculations.

Current Salary
OFFICE ASSISTANT III (Pay Range 6FN):
The current starting salary is $35,411 annually ($17.03 hourly), and the current resident incentive starting salary for City of Milwaukee residents is $36,474 annually ($17.54 hourly). Appointment will be made in accordance with the City of Milwaukee Salary Ordinance.
This position is a Limited Benefit Employee position, budgeted at Half Time. For 2023, the City of Milwaukee will contribute 75% of the single premium and 60% of the Family Premium of the lowest cost plan.
For this position, candidates would earn vacation at a prorated basis based off of years of service.

Selection Process
THE SELECTION PROCESS will be job related and will consist of one or more of the following: education and experience evaluation; written, oral or performance tests; or other assessment methods. The Department of Employee Relations reserves the right to call only the most qualified candidates to the oral examination. Oral examinations may include written exercises. Selection process component weights will be determined by further analysis of the job.
NOTE: The first step in the selection process is a written
test for all applicants who meet the minimum qualifications. Candidates who
pass the written test will be invited in score order to take a proficiency exam
in Microsoft Word, Excel, and Outlook (Version 2010); candidates who pass the
proficiency exam will be placed on the eligible list.
