The Department of Public Safety and Correctional Services (DPSCS) is seeking dedicated candidates to fill important roles within our department. POSITION DUTIES
- Uses word processing and spreadsheet software and peripheral equipment to produce correspondence, reports, tables, etc., responds to email inquiries, provides general administrative clerical support, including filing, copying, scanning, shredding, communicating fiscal related activity to the agency.
- Reviews and processes accounts payable documents, obtains approval from end users to pay invoices, codes invoices with correct PCA, Aobj and PO numbers, scans and emails to A/P department for processing, marks paid invoices with correct V, D, IA , etc. numbers, files paid invoices, follows up with vendors to resolve all outstanding issues, reconciles invoice discrepancies, communicate with DPSCS Fiscal Unit regarding processing of invoices and payments to vendors.
- Creates daily receipt allocations in Excel spreadsheet, codes all checks and cash with accurate PCA, Aobj, and TC, inputs accurate and complete deposits in FMIS (Financial Management Information System), maintains a schedule for shredding deposited checks, manages chargebacks, contacts clients with any outstanding issues.
- Performs tasks within the Enterprise Inventory Management System (eIMS) such as assisting with inventory, monitoring quantity of Office supplies items, Janitorial supplies, Maintenance supplies and Uniforms, ordering supplies to replenish inventory stockrooms, withdrawing supplies from eIMS.
- Reviews and analyze open purchase orders, creates and maintains procurement spreadsheet to log all approved and rejected requisitions to capture amounts, coding, procurement tracking numbers and status of open requisitions.
- Serves as the primary backup for the Service Specialist. Assists with mailroom duties, performs shipping and receiving tasks, creates packing slips, follows up on outstanding orders, and assists with issuing uniforms.
- Reconciles lodging reports, reviews billing for training, prepares and submits requisitions in Smartsheet.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS
Education: Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience: Three years of experience reviewing, verifying, recording, adjusting and balancing financial transactions.
Notes:
Six credit hours in accounting from an accredited college or university may be substituted for one year of the required experience.
DESIRED OR PREFERRED QUALIFICATIONS
Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.
One year of professional experience working with Financial Management Information System (FMIS).
