Main Purpose of Job

The main purpose of this full-time contractual position is to provide executive level administrative support and assistance to the Deputy Secretary for Behavioral Health.

This position is eligible for hybrid telework which is subject to change as necessitated by operations and customer focused demands. This position is also considered Emergency Essential and may require working night and weekend shifts, as needed.

POSITION DUTIES

Position duties include, but are not limited to:
  • Maintaining and managing the daily schedule and calendar for the Deputy Secretary
  • Scheduling and coordinating meetings, internal and external, handling all aspects including meeting room reservations, audio and video conferencing, if required, and parking; coordinating travel arrangements including hotel and airline reservations; maintaining frequent contact with public and private executives, staff and other officials; 
  • Attending meetings and site visits with the Deputy Secretary and developing meeting notes and task lists for complex projects; managing projects and following up with internal and external stakeholders to ensure tasks are performed on time and within budget;
  • Preparing correspondence, data analyses, reports, and executive memoranda, of confidential nature; developing materials/talking points for Deputy Secretary to use for speaking engagements, articles and reports;
  • Handling telephone calls from inter-departmental staff and exterior individuals, and handling meeting requests for Deputy Secretary; receiving visitors; and coordinating appointments and interviews;
  • Preparing and submitting expense reports for the Deputy Secretary’s Office and forwarding to our budget/fiscal unit for further processing; requesting office supplies, computer equipment maintenance, and other services;
  • Opening, sorting, reading and distributing incoming mail and correspondence; overseeing complex special projects, as needed.

MINIMUM QUALIFICATIONS

Education: 60 credits in business administration, public relations or related field from an accredited college or university.

Experience: Five or more years of experience providing administrative support services to a Senior or Executive-Level Manager. One year must have included Office Management.

DESIRED OR PREFERRED QUALIFICATIONS

The desired candidate should possess:
  • Administrative support experience working in a state, non-profit, or healthcare setting
  • Experience preparing presentation materials
  • Experience navigating multiple competing projects

SELECTION PROCESS

This is a Special Appointment position and serves at the pleasure of the Appointing Authority. A resume must accompany your application.

Candidates may remain on the certified eligible list for a period of at least one year. The resulting certified eligible list for this recruitment may be used for similar positions in this or other State agencies.

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program, have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents. As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.

Leave may be granted to a contractual employee who has worked 120 days in a 12 month period. This leave accrues at a rate of one hour for every 30 hours worked, not to exceed 40 hours per calendar year.
