POSITION DUTIES

This position is responsible for providing support to the Compliance Coordinator and the Correctional Training Unit of the MD Police and Correctional Training Commissions (PCTC). This includes adding, updating, archiving and providing aggregate information using the Skills Manager certification system. This position is responsible for organizing, managing, and performing a variety of routine and complex administrative tasks. This position provides back-up support to the Corrections Academy Registrar for registration of CELTP students and ensuring all entrance-level training data is maintained within the skills and training manager databases. The incumbent must be customer service-oriented, with an ability to work well with a team, be cooperative and collaborate.

  • Assist with the certification process to include processing, tracking and dissemination of: Notice of Personnel Actions forms, Certification Cards, Instructor Applications, and Compliance information, as well as processing other pertinent certification compliance related information.  
  • Maintain computerized databases regarding employees, instructors, courses, classes, and programs as it relates to their respective certification, as well as other pertinent information.  Assist with the preparation of reports. 
  • Provide technical support in the use of Skills Manager and Training Manager, and other programs necessary to track certification information.  This includes, but is not limited to; training new staff regarding how to use the various programs, helping them compile and submit periodic reports, and respond to any program problems reported by field personnel.  
  • Assist with the audit process to ensure compliance with regulations.  
  • Responsible for performing routine administrative processes for the Correctional Training Unit.  Performs a variety of simple and complex clerical and administrative duties requiring comprehensive knowledge of the workings of the Commissions and the training units; maintain and request office supplies, as needed.
  • Provide back-up support to the Corrections Academy Registrar and all other units at PCTC.

MINIMUM QUALIFICATIONS

Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate. 

Experience: Four years performing secretarial work or clerical work involving typing duties. 

Notes: 
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education. 

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience. 

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

Applicants must meet the selective qualification(s) to be considered. Include clear and specific information on your application regarding your qualifications.

  • At least two (2) years working with MS Excel, 
  • Experience manipulating information from databases or preparing reports.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

 • Familiarity with the certification process or compliance, as it concerns a Correctional Services. 
 • Comprehensive knowledge of Commissions and Training Units. 
 • Knowledge and experience utilizing Skills Manager software.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard on a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program, have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents. As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits.

Leave may be granted to a contractual employee who has worked 120 days in a 12 month period. This leave accrues at a rate of one hour for every 30 hours worked, not to exceed 40 hours per calendar year.
