Main Purpose of Job

The MOSH Training and Education office offers free seminars, publications, and audiovisual borrowing at the Hunt Valley location. MOSH provides Maryland employers and employees with information about MOSH safety and health requirements. The Administrative Specialist position helps the outreach program coordinator with clerical duties; support marketing efforts and organization duties in order to fulfill the mission of the agency to provide outreach and safety education to the public.

POSITION DUTIES

Provide support and service to mosh staff, instructors, and the public with seminars, publications and reference materials, such as maintaining the lending library of training videos and public reference library. Maintain the training and education database by entering registrations, confirmations, evaluations, cancellations, waitlisted and no shows to the database.

Determine the correct action to take regarding incoming calls from the general public and interpret callers’ needs to provide the appropriate information, and/or transfer the caller to the appropriate department. Provide detailed outreach and training information, and answer questions about course descriptions, dates offered, registration information, and general queries about services offered by the education department.

Independently manage the publication room, including the ordering and/or light production of publications. In coordination with the outreach program coordinator, assist in managing the outreach & training calendar and provide adequate and complete requests for distribution to the instructors, public, seminars, and satellite offices. determine the necessary time frame for compiling and providing instructional materials and creating seminar binders. Manage and update the database of mosh presentations. proofread and recommend edits to presentations. format presentations in accordance with department guidelines, recommend to the outreach program coordinator the appropriate mosh publications to maintain or sunset based on usage.

Assist with marketing campaigns, keep track of dates and deadlines associated with marketing initiatives, compose letters, fliers & other correspondence for the mosh outreach training and education. train employees as directed by the program coordinator.

Other duties as assigned which may include Spanish translations for and from the public to compliance officers, collections unit, informal conference. Translates on a weekly basis over the phone, in person, on job sites, and in written documents.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Six months of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

At least 6 months experience drafting and composing memos or other correspondence and creating reports and databases for tracking purposes.

Experience using Microsoft Office Suite, including Word, Excel and Power Point, and experience using Google Docs to share Excel spreadsheets and other documents.

Ability to speak and write fluent Spanish.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

SPECIAL REQUIREMENTS

All candidates are subject to a background check against files maintained by the division of Unemployment Insurance (LABOR/DUI) to determine whether any monies are owed to LABOR/DUI as a result of an unemployment insurance overpayment and/or fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.
