LOCATION OF POSITION

Main Purpose of Job

The primary purpose of this position is to perform secretarial duties for all North East Barrack Investigations Section Personnel as well as the Command Staff. All criminal work performed requires knowledge of the Department Rules and Regulations, NCIC regulations, UCR regulations, privacy and security laws as well as knowledge of legal terminology. This position also assists in the overall accomplishments of the Department and Barrack goals and objectives.

POSITION DUTIES

Incident Reports: Incoming Incident Reports are processed and filed in numerical order. It is the Administrative Specialist’s responsibility to ascertain if other agencies or departments are to receive a copy, and if so, forward the same.

 

Warrants and Summons: After warrants are stamp-dated in by the Administrative Specialist, the first thing to be done is to check to make sure the name and date of birth reflects the same as the records. Warrants are then processed and entered into the computer before being assigned for service. The same procedure is used on the processing of summonses. Summonses have a date set by the Court by which the summons must be served. The only exception is that summonses do not have to be entered into the computer.

 

Process Accident Reports

 

Citations: Traffic citations are processed as follows; each morning process all citations issued by Troopers which have been turned in, mail original copy to MATS in Annapolis, the yellow copy is filed in the file room in the barrack.

 

Transcriptions: Transcriptions are also executed via the Dictaphone machine. These are of an important and confidential nature. Included are interviews with accused persons, suspects, witnesses, victims, etc. These transcriptions must be complete, accurate, and precise.

 

All other duties assigned.

MINIMUM QUALIFICATIONS

Education:   Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of experience performing administrative staff, clerical, clerical technical, or secretarial work.

Notes:

1. Candidates may substitute 30 credit hours from an accredited college or university for the required experience.

2. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preferred Qualifications:


1. Experience with MD Court System/State's Attorney Office, along with proven written and verbal communication with those entities.

2. Experience with Google Applications, specifically Google Sheets and MS Office.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

Employees in this classification may be assigned duties which require the operation of a motor vehicle. Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

SPECIAL REQUIREMENTS

Candidates may be responsible for providing their own transportation as needed to access meetings, remote locations, and job destinations as assigned.

SELECTION PROCESS

Only candidates who meet the minimum qualifications will be considered for this classification.  Therefore, it is essential that you provide complete and accurate information on your application. Successful candidates will be place on the Eligible List categorized as BEST QUALIFIED, BETTER QUALIFIED OR QUALIFIED and remain eligible for consideration for at least one year from the date of examination. The list will be used by the hiring manager to select employees.

The examination will consist of a rating of your education, training and experience related to the requirements of the position. You may be required to complete a qualifications supplement, or the rating may be based on your application. Report all experience and education that is related to this position.
