POSITION DUTIES

The Alcohol and Tobacco Commission is seeking to employ an Executive Associate I. The main purpose of this position is to provide administrative support to the Executive Director and Division Directors and perform administrative duties for the Alcohol and Tobacco Commission (ATC). This requires comprehensive knowledge of the State's and the Agency's policies and procedures.

This position requires the incumbent to act as an intermediary for the Directors, maintaining frequent contact with public and private directors, professional staff, and other officials. Much of the support offered in this position is of a sensitive and confidential nature always requiring the use of tact and diplomacy. Preparing, and reading reports to summarize information to facilitate the directors review, composing correspondence, charts, tables, photocopying, filing, scanning, and mailing documents and correspondence.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Six (6) years performing secretarial work or clerical work involving typing duties.

NOTES:

  1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
  2. Thirty (30) credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.
  3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience. 
** For education obtained outside of the U.S., you will be required to provide proof of the equivalent American education as determined by a foreign credential evaluation service. If you possess a degree obtained outside of the United States, please submit a detailed, course-by-course evaluation report from one of the U.S. equivalency evaluating members identified at http://www.naces.org/members.html.

DESIRED OR PREFERRED QUALIFICATIONS

  • Proficient in the use of the Workday Finance and Human Resource planning system. 
  • Experience in the preparation of Executive Summary documents. 
  • Experience in arranging on and off site meetings, events, appointments and travel for agency leadership with supporting materials as needed. 
  • Experience in providing assistance to executive leadership in tracking key operational metrics, by organizing and compiling data, researching facts, and coordinating information retrieval.

Qualifying applicants are subject to an oral interview. Prior to appointment, the employee must successfully undergo a comprehensive background investigation including a review of criminal, MVA and tax records; and determination of legal authorization to work in the United States or under the United States Immigration Reform and Control Act of 1986. This background check is comprehensive and may involve fingerprinting. Upon initial appointment OR promotion to a position in the State Personnel Management System, an employee is required to serve an initial six- month probationary period. This probationary period may be extended an additional six months under certain circumstances at the discretion of the appointing authority.
