Introduction

The Maryland Department of Labor is accepting applications from qualified candidates for the position of Office Secretary III. The main purpose of this position is to provide secretarial and technical support to the Administrator/Human Resources Liaison.

POSITION DUTIES

The main purpose of this position is to provide secretarial and technical support to the Administrator /Human Resources Liaison as well as provide secretarial and technical support to the Office of Operations (OOA) Directors, Managers and staff ensuring the effective and efficient operation of the Unit. This incumbent must be able to type confidential memorandums, work on multiple projects simultaneously which requires a considerable amount of organizational skills and will provide assistance to the OHR/OOA as needed This position demands a high degree of personal integrity, the ability to handle sensitive and confidential information and the ability to prioritize competing priority assignments.

Duties of this position include, but are not limited to:
  • Provides clerical support for the Office of Administration (OOA). Upon request, prepares correspondence for signature; disseminates information to liaisons, managers, supervisors, and other employees.  The position also orders office supplies when needed and acts as the backup Inventory Accountable Officer.

  • Performs receptionist duties for the OHR/OOA. This work involves the exercise of independent judgment in terms of reviewing mail, greeting customers, and giving out information; greets visitors and provides them with requested destination; answers telephone calls and provides general information and/or refer callers to appropriate person for assistance; retrieves and distributes faxes. Ensures copier and fax machines are equipped with paper and toner. Reports to appropriate person when service calls are necessary.

  • The position reviews all incoming mail to be distributed to OOA , date stamps it, enters appropriate information in the incoming/outgoing mail log, and delivers the mail to the appropriate routing locations

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties.

Notes: 

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Experience with personnel records filing updates
supply inventory experience
Front Desk/Switchboard experience

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

All candidates are subject to a background check against files maintained by the Division of Unemployment Insurance (Department of Labor/DUI) to determine whether any monies are owed to Department of Labor/DUI as a result of unemployment overpayment/fraud. Any unpaid debt may have an impact on whether or not a candidate is offered employment.
