POSITION DUTIES

This position provides administrative, financial, secretarial, and technical support to the Director for the Office of Leadership Development and School Improvement. The position provides administrative, financial, secretarial, and technical support to the Specialists and other staff in the Office of Leadership Development and School Improvement within their areas of responsibility. This position provides administrative, financial, secretarial, and technical support for the various programs and projects that fall within the scope of this Office.

Provides administrative, financial, secretarial, and technical support to the Executive Director of the Office of Leadership Development and School Improvement. Serves as initial point of contact for the Executive Director, Coordinator, and Specialists. Organizes and maintains files to ensure and preserve confidentiality of important records and correspondence as appropriate. Monitors the financial status of the branch and independently prepares purchase requisitions, out-of- state travel requests, grant awards, contracts, and other necessary documents and reports; reviews invoices, expense accounts, time sheets, and other financial forms for accuracy, completeness, and appropriateness. Monitors expenditures and reviews all requests for payment to ensure accuracy, particularly the Financial Management Information System (FMIS). Resolves conflicts and issues concerning invoices, charges, contracts, etc.; ensures that credit card charges are appropriate; reconciles credit card statements and prepares Accounting/Finance Request for Adjustment to ensure that expenditures are properly identified and charged to the correct accounts. Receives and reviews time sheets and expense accounts from Office staff and ensures accuracy prior to submission to the Executive Director.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Five years performing secretarial work or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted  at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

1-year experience with Microsoft Office Suite (Word, Excel, PowerPoint, Access) & Google Documents

DESIRED OR PREFERRED QUALIFICATIONS

  • Data management experience  
  • Customer Service experience  
  • Multi-line Phone experience

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.

EXAMINATION PROCESS

The examination will consist of a rating of your education, training, and experience as presented on your application and as they relate to the requirements of the position. Successful candidates will be ranked as Best Qualified, Better Qualified, or Qualified and placed on the employment (eligible) list for at least one year.
