POSITION DUTIES

The main function of this position is process parole and revocation decisions upon receipt from Hearing Offices and Commissioners. This position is also responsible for coordinating video conferenced hearings, processing amended decisions, processing appeals, providing clerical support to the hearing officers and commissioners, and providing coverage to the receptionist desk when necessary.

General Duties
Reviews/separates incoming parole and revocation cases.
Ensures that the tapes and dockets are labeled and coincide with the date of the hearing.
Ensures that data entry has been completed for all parole and revocation hearings.
Handles the coordination of video conference parole and/or revocation hearings.
Ensures that revocation hearing decisions are promptly faxed to the institution and/or the commitment officer.
Ensures that administrative refusal, refusal, rehear, and HOLD decisions for DPSCS corrections inmates are processed and forwarded to the IPA unit for decision service.
Ensures that administrative refusal, refusal, rehear, and HOLD decisions for local jails are forwarded to the appropriate jurisdiction for decision service.
Processes new and amended decisions by entering information into the appropriate database and notifying the inmate of the outcome.
Processes suspension of approvals, updates database, mails decisions, and schedules new hearing.
Prepares appeal dockets and schedule appeal hearings in accordance with the weekly schedule.
Composes correspondence to request information pertinent to resolving deferred decisions, and independently follows up on requested materials to ensure prompt resolution.
Ensures that hearing officers and/or commissioners are promptly notified upon receipt of requested information.
Ensures that files are appropriately tracked.

Other Duties
Provides back up coverage for the receptionist desk with answering phones, greeting visitors, opening/sorting mail when necessary.

MINIMUM QUALIFICATIONS

Applicants must meet all minimum (and selective) qualifications to be considered, and to appear on the list of people eligible for hire. Please read all requirements before applying.

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Two years performing secretarial or clerical work involving typing duties.

Notes:

1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.

2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.

3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications.

1. Experience and knowledge of OCMS.

2. Experience in Customer Service.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
