Main Purpose of Job
Serves as the Executive Associate I within the Division of Student Support, Academic Enrichment, and Educational Policy, and is responsible for providing secretarial and administrative support to the Assistant State Superintendent, management level personnel, and office support staff in facilitating day-to-day operations, in assuming responsibility for administrative matters deemed necessary by using a high degree of discretion and proper and appropriate judgment, in organizing daily activities and keeping accurate and follow-up records. Lead responsibility for calendar coordination, scheduling appointments, travel arrangements, and responsibility for coordination of all activities emanating from the Office of the State Superintendent, Deputy State Superintendents, and Executive Branch. Lead responsibility for Governor's and Superintendent's correspondence. Lead responsibility for technology authorization. Shared responsibility for inventory control, and human resources procedures. Uses knowledge, skills and experience in word processing, English usage, editing, and proofreading; in accessing information from the Maryland State Department of Education's policy and procedures manual; in office organization and management, and interpersonal skills.
ORGANIZATION/PLANNING: Plans, coordinates, organizes, and provides administrative support for:
- Maintains filing systems and databases for the Assistant State Superintendent and Division on general correspondence.Maintains financial and program operations, program grants, and personnel files by using a systematic retrieval method to ensure availability and retrieval of information.
- Maintains tracking systems for division portable technology hardware, including but not limited to laptops, LCD projectors, digital camera, etc.
COMMUNICATION: Resolves problems and responds to requests for information by:
- Independently receives, screens, and directs telephone calls for the Assistant State Superintendent or any divisional inquiries, makes independent decisions as to how call should be-handled to resolve requests and expedite flow of messages and information to appropriate person or division to ensure appropriate and timely response according to Maryland State Department of Education telephone etiquette, procedures, and protocol.
- Independently composes, types, and signs correspondence, often without instruction or review, for signature by State Superintendent, Deputy State Superintendents, Assistant State Superintendents, or managerial level personnel by assuring accuracy of content and using proofreading and editing skills, demonstrating expert knowledge of basic English, punctuation, grammar, spelling, and specialized terminology.
Education: Associates Degree from an accredited college.
Experience: Five years of experience in administrative or professional work.
Note:Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer involving staff work requiring regular use of independent judgment and analysis in applying and interpreting rules and regulations in accordance with agency laws and policies on a year-for-year basis for the required education and experience.
