Main Purpose of Job

This position serves as Facilities Management Coordinator and Inventory Coordinator. This position provides supports to the agency's Finance Unit and is the primary back up of Procurement, Hotel CPC, & Fleet Management. This position also receives and distributes procurement transactions and processes Child Support payment transactions. Performs critical financial transactions during staff vacancies and/or absences to which assists with separation of duties as required per audit regulations.

POSITION DUTIES

Facilitates building and property repairs, maintenance, and other critical issues with maintenance staff and various service providers to ensure a safe & healthy environment for customers and employees. Recognizes, recommends, communicates and coordinates needed improvements. Receives and distributes items procured by various staff. Conducts supply inventories on a regular basis to ensure that the agency is stocked with needed items so that employees have the items/tools to provide internal and external customers with services. Serves as the primary back up for Procurement, Hotel CPC, & Fleet Management. Performs various financial tasks and reconciliations required for separation of duties to meet/pass set audit standards. Cross-trained in various financial operations to ensure coverage of critical tasks during staff absences and/or vacancies. Daily fleet duties.  Serves as the primary staff who performs the review, posting, and courier deposit per audit requirements for all cash Child Support payments made at the agency's Local Office of Child Support Administration. Responsible for ensuring that all State of Maryland assets are accounted for by performing inventories, updating inventory records, and reconciling databases with Department of Human Services (DHS) Central.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: One year of experience reconciling agency accounting systems to fiscal control systems or developing automated spreadsheets, ledgers and reports using accounting software packages or identifying budget trends and recommending budget realignments.

Notes:

1. Candidates may substitute experience calculating and recording financial, statistical or other numerical data may be substituted on a year-for-year basis for the required education.

2. Candidates may substitute U.S. Armed Forces military service experience in Financial Clerical/Finance Technicians classifications or specialty codes in the financial field of work at a rate of one year of military experience for the required experience.

LICENSES, REGISTRATIONS AND CERTIFICATIONS

1.  Employees in this classification may be assigned duties which require the operation of a motor vehicle.  Employees assigned such duties will be required to possess a motor vehicle operator’s license valid in the State of Maryland.

BENEFITS

Contractual employees who work for an agency covered under the State Employee and Retiree Health and Welfare Benefits Program, have a current employment contract and work 30 or more hours a week (or on average 130 hours per month) may be eligible for subsidized health benefits coverage for themselves and their dependents. As a contractual employee, you will be responsible for paying 25% of the premiums for your medical and prescription coverage, including any eligible dependents you have enrolled. The State of Maryland will subsidize the remaining 75% of the cost for these benefits. You can also elect to enroll in dental coverage, accidental death and dismemberment insurance, and life insurance, but will be responsible to pay the full premium for these benefits. Leave may be granted to a contractual employee who has worked 120 days in a 12 month period. This leave accrues at a rate of one hour for every 30 hours worked, not to exceed 40 hours per calendar year.
