POSITION DUTIES

To provide supervision to the clerical support team who processes mail, such as checks, money orders, newspapers and legal mail for a population of over 400 inmates for the Chesapeake Detention Facility. In addition, this position is responsible for the searching of mail for contraband, recording and reconciling before distributing.

On a daily basis, make notations in the appropriate log book (S) of any changes in the cell location of inmates assigned to the facility.  Supervises the collection of all incoming mail from the U.S. Postal Service, Federal Express, Courier Service, and UPS. Separate legal mail, magazines, bulk packages, and departmental mail for distribution.  Forward inmate mail to the appropriate facility/institution for any inmate who has transferred.  Determine the correct cell location and mark same clearly on all inmate mail before the mail is sent to the inmate.  Date stamp all incoming letters and packages.  Open and inspect inmate mail to detect/remove cash or contraband before the mail is delivered to the inmate.  Receive and sign for packages. Answer questions concerning the mail when asked by the inmate's family and staff. Log all money orders and assure that receipts are forwarded to the Finance department. Prepare complete and accurate reports as assigned, especially those which are part of any investigation. Maintain files and records as required.

MINIMUM QUALIFICATIONS

Education:   Completion of the eighth grade.

Experience: Three years of experience typing correspondence reports, charts or other documents from rough draft, corrected copy or oral instruction on a typewriter or on a keyboard of personal computer, computer terminal or word processor.

Notes:

1. Candidates may substitute additional experience typing or performing other clerical duties on a year-for-year basis for the required education.

2. Candidates may substitute graduation from an accredited high school or possession of a high school equivalency certificate for six months of the required experience.

3. Candidates may substitute five courses or six months of clerical training in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette for six months of the required experience.

4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience.

DESIRED OR PREFERRED QUALIFICATIONS

Preference will be given to applicants who possess the following preferred qualification(s). Include clear and specific information on your application regarding your qualifications. 
  1. Experience working within a mailroom. 
  2. Background in providing customer support services.

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
