POSITION DUTIES

The main purpose of this position is to provide administrative and office management support for the Regional Manager of the Office of Child Care and her/his subordinates as well as supporting the child care community of the Frederick/Carroll counties.

Processes child care applications to include CBC’s and releases utilizing CCATS, CIS and CHESSIE applications in order to maintain accurate caseload information by following office procedures.  Processes all incoming and outgoing mail, CJIS emails, and faxes in order to ensure timely transmittal of information by following the office standard procedures. Makes/takes appropriate referrals and messages of incoming calls and walk-ins to facilitate prompt and professional communications by following office procedures and business protocol. Maintains and processes closed files for retention and disposal in order to ensure ease of retrieval and accurate disposition of closed files by following OCC retention schedule and office procedures established by the Regional Manager. Type letters, reports, licenses, forms, chronologies, or any other requested materials in order to ensure a professional format of office documents and correspondence by appropriate use of office equipment and following document preparation standards.

MINIMUM QUALIFICATIONS

Education: Graduation from an accredited high school or possession of a high school equivalency certificate.

Experience: Three years performing secretarial or clerical work involving typing duties. 

Notes: 1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education. 2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience. 3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical, or Office Services specialty codes in the Administrative Support field of work on a year-for-year basis for the required experience.

SELECTIVE QUALIFICATIONS

1. One year of experience with Microsoft Office Suite (Word, Excel, PowerPoint, Access) & Google Documents.

DESIRED OR PREFERRED QUALIFICATIONS

1. Data management experience 
2. Multi-line Phone experience
3. Alpha & Numeric Filing experience 
4. Customer Service experience
5. Record keeping experience

SPECIAL REQUIREMENTS

Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
