Main Purpose of Job
POSITION DUTIES
Prepares purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items when necessary, verifies receipt of items by comparing items received to items ordered; resolves shipments in error with suppliers; authorizes payment for purchases to the office of procurement; and ensuring information is accessible to management by sorting and filing documents.
Monitor availability of funds based on quarterly invoices submitted from U.S. Department of Labor Blanket Purchase Order.
Serve as liaison between MOSH and LABOR Office of Procurement.
Audit expense reports submitted by employees for overall reasonableness, accuracy, and ensure there are no violations of the department’s travel policy.
Process hotel accommodations for all Out-of-State and In-State Travel.
Manage, record and monitor all credit card transactions within the MOSH program, and reconcile all transaction invoices, receipts, and invoices made on credit cards.
Record and monitor all credit card transactions within the MOSH program. Reconcile all transaction invoices, receipts, and research and resolve payment issues.
Process and monitor all remote deposit transactions, secure all checks and money orders in a locked safe, and purge checks and money orders after retention period.
Prepare status reports for all purchases for the MOSH program, and examine all requests for proposals, quotes, and information attached to requisitions.
Performs other duties as assigned by management.
MINIMUM QUALIFICATIONS
Education: Possession of a Bachelor's degree from an accredited four-year college or university.
Experience: One (I) year experience in administrative or professional work.
Notes:
1. Candidates may substitute additional experience in administrative staff or professional work on a year-for-year basis for the required education.
2. Candidates may substitute additional graduate level education at an accredited college or university at the rate of 30 semester credit hours for each year of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a commissioned officer involving staff work that included regular use of independent judgment and analysis in applying and interpreting complex administrative plans, policies, rules or regulations or analysis of operational programs or procedures with recommendations for improvement on a year-for-year basis for the required education and experience.
DESIRED OR PREFERRED QUALIFICATIONS
Experience with government procurement laws, regulations, and policies.
Experience using the Financial Management Information System (FMIS) and the ability to use the ADPICS portion of FMIS. solid analytical and computer skills i.e. Microsoft Office Word, Excel, PowerPoint.
Experience with team building and leadership.
